Enhanced Access Restrictions in Statuses for Confluence

Handy Status and Page Status come from the Handy Macros for Confluence app bundle. Even if you are new to our app, starting with these features is easy. Users love our dynamic status labels organized in logical, reusable sets. Teams use Handy Status and Page Status to mark project stages, content review cycles, work progress, product readiness, and more - all with just a click. No more outdated static text or manually updated status labels.

Now, we’re excited to roll out a highly requested enhancement that gives Confluence admins control over who can manage these status sets.

Introducing Access Restrictions for Set Management

1200х750.png

Do you want to bring structure and governance to a previously open environment? With the new access restriction feature, Confluence administrators can define specific users or groups who can manage status sets.

By default, all users can manage status sets. However, you can select different status permissions for Handy Status and Handy Page Status. Just add specific users or groups to the ones with access restrictions. After that, only selected users or groups will be able to manage status sets. But will it block everyone else while working with statuses in Confluence? Nope! They'll still see and use existing sets but won’t be able to modify them.

Setting access restrictions is easy. See how it works below.

🔐 Grant Access Restrictions

  • Navigate to Global Settings > Handy Macros for Confluence > Access Restrictions.

  • Click the Set access restrictions button or use the Select field above the table.

  • Start typing to find and choose users or groups.

  • Click Confirm to grant permissions.

You can add up to 100 users and 100 user groups, giving you flexibility while maintaining control.

❌ Remove Access Restrictions

  • Go to the same settings page.

  • Locate the user or group with access permissions in the table.

  • Click the Remove icon and confirm the action.

When Should You Use Access Restrictions?

Once restrictions are set, only authorized users can manage status sets. We believe this will help teams maintain consistency, accuracy, and governance in the sets they have defined for their Confluence site. Who will benefit from this additional level of control? The cases are numerous - you name it! We are happy to provide a few examples.

✅ Compliance in Regulated Industries

Ensure only authorized personnel can update workflows and project indicators—crucial in healthcare, finance, and other compliance-heavy sectors.

✅ Control in Large-Scale Teams

Keep project workflows tidy by limiting status management to a dedicated admin team.

✅ Consistency in High-Impact Projects

Avoid accidental edits that could confuse teams or misrepresent project progress.

✅ Accountability & Audit-Readiness

Restrict access to make it easier to track changes and stay audit-ready.

🎯 Try It Today

If you already use Handy Macros, jump into your Global Settings and test the new restrictions feature. If you’re not yet a user, it’s time to see what you’ve been missing!

Let your content shine with structure, clarity, and now, greater control.
