For a significant period, there was no dedicated app in the JIRA marketplace to track clients budgets. Many companies who track billable hours had to rely on external tools or excel to manage their clients budgets.
This lack of an integrated solution came as no surprise, as developing a JIRA app to track client budgets required building several critical and time consuming functionalities Below we will explain each of those and how our solution Timescale addresses them in order to achieve the bases of successfully tracking client budgets within JIRA.
After knowing what work needs to be done for your client and agreeing on the budget type and size you would need to create this budget in the Timescale app by filling in the form in the Timescale budget overview menu.
The second thing that needs to be set before you start tracking time and revenue against your budget are Billable rates.
At the moment billable rates can be set on Jira project level and on Jira project members level.
Once done every newly logged hour using Timescale will have a money amount calculated automaticly!
Having the above steps will enable you to track how your client budget is being spent. Timescale provide a reporting view in which you can see all your company budgets in one place. You will see who is there owner, to which JIRA project and client are they allocated and most important how are they being spent. See below:
The final missing link in this chain is how to adjust the budget when needed because of project changes, scope creep, or unforeseen circumstances or just deciding certain work needs to be dropped or even amortised.
The fast way to add or remove work items/time from any budget is to use the Timescale Time Explorer.
To do that you can go to the Budget Administration view and find the jira issues with their workl ogs(money amount) that you want to add or remove to/from a budget
After selection you can use the EDIT functionality and assign those jira issues worklogs(with their $ amount) to different budget or just to "no budget"
Finally you can go back to the budgets overview, hit re-Calculate to re-calculate the new budget amount that needs to be invoiced when decided.
