Hi CUG Members, welcome to this week’s edition of Weekly Wonder!
Today, we’re diving into a topic that’s foundational for every successful team: governing your Atlassian tools and users, and building best practices that scale across teams.
Whether you’re just starting your Atlassian journey or looking to mature your governance model, these insights will help you drive consistency, compliance, and collaboration.
As Atlassian tools like Jira, Confluence, Loom, and Rovo become the backbone of modern teamwork, effective governance ensures your organization gets the most value, without chaos or risk.
Governance isn’t just about rules; it’s about creating clarity, accountability, and a culture of continuous improvement. The right framework helps teams avoid tool sprawl, maintain security and compliance, and foster innovation.
1. Centralize Governance Documentation and Processes
Use Confluence as your single source of truth for governance frameworks, policies, and procedures. Document roles, responsibilities, and workflows so everyone knows where to find the latest guidance.
2. Define Clear Roles and Responsibilities
Establish a governance board or Center of Excellence (CoE) with defined roles (e.g., Platform Owner, Admin, Compliance Specialist, Business Champion).
Use a RACI model to clarify who is Responsible, Accountable, Consulted, and Informed for key decisions.
3. Standardize and Automate Processes
Use Jira to automate governance workflows—such as access requests, change management, and compliance checks.
Leverage group-based permissions and role-based access control (RBAC) to ensure the principle of least privilege.
Regularly audit permissions and user activity using Atlassian Guard (Access) and Admin Hub.
4. Foster Continuous Improvement
Collect feedback on governance processes using Confluence surveys or Rovo.
Track improvement initiatives in Jira, and use dashboards to monitor adoption and compliance metrics.
Encourage teams to share lessons learned and update best practices as your organization evolves.
