General Questions regarding Confluence space

Ian Tan June 28, 2020

Hello friendly Confluence community,

I am a new user to this community and am embarking on a project to set up a knowledge base for my department. This is intended to be accessible by the company staffs globally, and to house a wide plethora of information and resources there. Some questions I have in mind that would seek great assistance from the experts around here:

1. Is there a capacity limit to the Confluence space? That is, is there a size limit as to how much documents, attachments and pages that we can upload and share on each space?

2. Is the Confluence space accessible to all members globally as long as they are registered with the company and are accessing the Confluence space via the company's intranet.

3. How to we enable the Admins of the Confluence space to receive an email notification if there is a comment made on the space?

Thank you my very friendly community!

Best Regards, Ian

Hi @Ian Tan

Welcome to the community!

I will try to answer your questions:

  1. No
    • Tip: Be aware, Confluence is perhaps not the best place to store all of your documents. Think about to replace the documents with plain confluence pages.
  2. I'm not sure I get your question correctly. In your confluence instance, you have to license every user. And every user you license, will be accessible to the confluence.
  3. The admins have to watch the whole space to receive the mails. There is no "send e-mails to Admin when comment" function :)

If you have any further questions, please let me know.

Regards, Dominic

Hi Dominic,

Thank you for your speedy response and the time taken to answer my query.

With respect to (1), may I enquire for your rationale that "Confluence is perhaps not the best place to store all of your documents"? In addition, what are the limitations/issues of uploading documents here? What are other alternatives? Note that my Confluence space is currently hosted in a Private server/server only accessible by the company's employee.

Thank you.

Regards, Ian

I've not so much experiance with a large amount of documents.

In our company the principle is: Store text and pictures in confluence, the other documents has to stay in sharepoint. Confluence isn't a document holder. For instance, why do you need Word or text files? Just put the content into a confluence page.

I think, the only restriction to the amount of documents are:

  • Limitation of size of the attachments (see here)
  • Limitation if the size of your private server

I think confluence can handle a lot of attachments. Do you know how many or how big your attachments are?

We currently have 125k attachments, most of them are pictures.

Does this answer your question?

Regards, Dominic
