Database "Media and files" are not accessible for other users

Hi! Newbie here.

Currently, users cannot view or download PDFs from the database table; the files are inaccessible in the page tree and individual entry views. I’ve confirmed this issue through testing with multiple users in my organization. I'm unsure if this is a permissions issue or a bug — if it's the former, I don't know how to resolve it.

Ideally, the database table should function like a standard table: when users hover over multimedia, it appears clickable, and upon clicking, a viewing pane opens with an option to download the file.

I was able to see a similar behavior that you described, I added a PDF and an image in the Media an files field, but when accessing with another account with limited space permissions, I was unable to preview the PDF.

In your case, the "cannot view" or "cannot download" the users can see at least the thumbnail with the file embedded and just not able to see the ... button with the options "view in full screen" that allows the download option?

In case this is the behavior you are also seeing, it seems the users are required the space permissions to "add" under pages, whiteboards and database column, in your Space Settings > Space Permissions.

Please review if the users have this permissions and if they are able to click on the three bots button when hovering the PDF added to the database entry and clicking on view in fullscreen.

Hey @Gary Long— a very unsatisfying fix on my end: I toggled off “space permissions” for everyone except myself, logged out and back in, then restored the permissions. That somehow did the trick.

The database feature is a great addition to Confluence, but it’s riddled with bugs — for example, adding more than five rows with a media column makes the whole table unresponsive. I feel your pain. Hope you get a quick solution.

I found that a bug report which corresponds to my use case has been created in january this year but with a low priority so I'll try a different approach.
