Creating a knowledge base for company that is login protected

Hi, 

 

My company is looking to create a knowledge base for our employees but we do not want these articles to be public facing and able to be accessed by anyone. However, we also do not want all of our company to have to set up their own login or be a "user" of confluence since they will just be reading the articles. Is there a way to have a login to confluence that is email based so anyone with my companies gmail address can login with their email?

There are a couple of different ways to do this.  Each has different pros and cons.

  • If team members are not going to be updating and only using the pages read only you can setup a public space so no one has to login and a license is not required.  Your subscription would need to be Premium and then you can use the IP allow list to only allow team members from a specific IP to access the public pages.  You would want to use your companies network so team members on prem could connect and individual off prem could use a VPN to connect to the Confluence knowledge base.
  • You can also couple Confluence with Jira Service Management and individuals can access the articles through the service desk.  You can setup the service desk to only allow specific users to login as customers and see the articles. This would also be handy if you want to be able to provide the option of submitting support questions.
  • You can setup Confluence to sync to your user directory (Google) and provide automatic access to Confluence.  This would require each user to have a license which could be assigned automatically to all active users.
