how to list pages by label and its status

minki kim January 12, 2024

Hi,

say, I have multiple pages that are labelled as "task", but they are in different templates - some contains page properties, some not; hence I could not use Page Properties Report.

Is there any way to list pages lablled "task" with their status?

The status is from "Add status" in edit page (unfortunately I cannot attach screen shot here).

I tried using Contents Report Table, but it only shows title, creator and modified.

Hi @minki kim ~ Page Properties Report macro would be ideal to show issues in a table format.  An alternative to this is to create separate macro sections for each status using the Content by Label macro and adding a Status label.  Problem here is that when the Status changes, you'd need to manually update the label, which is not ideal.

Hi, @minki kim

You're right, the Page Properties Report macro won't help if the pages don't consistently use the Page Properties macro. And the Contents Report Table macro is quite limited.

Unfortunately, the native Confluence "Add status" is not something that can be automatically extracted or reported across pages, unless placed within a Page Properties macro.

Anyway, there is a workaround, using Handy Page Status from the Handy Macros app. The feature adds a status bar at the top of each page (separate from Page Properties), and you can then create reports based on that with consistent configuration.

Please note that Page Status works both on Cloud and DC hosting, but the Page Status Report is available only for the Cloud version.

Best regards,

@minki kim

You can also use the Content Status List macro provided by Better Content Archiving for Confluence.

The best part is that you can not only list pages by their label but create a better system of Confluence page statuses. Don't put up with a few statuses that Confluence Cloud offers, create the right workflow for your team with the right statuses.

It is part of a dedicated content lifecycle management solution. It means that your statuses are not static. When page statuses change, your macro will reflect that!

Hello @minki kim

As many have already stated, it is not possible to accomplish this using the Page Property Report.

However, if you are open to using third-party applications, you can easily achieve your goal with the Content & Usage Report available in our Viewtracker app. This report allows you to filter by label, so you can display only the pages that have the appropriate labels. Additionally, you can include the “Page Status” data field to get the status of each content listed.

Our team will be happy to answer any questions you may have.

Kind regards,
Mattia

Hey @minki kim , just came across this and figured I’d add a reply for anyone else digging into this same issue later on.

Yeah the problem with the native “Add status” macro is that it’s just styled text—it looks great, but you can’t really report on it or pull it into listings like the Contents Report Table. And if your pages don’t all use the same template with Page Properties, that kinda rules out the Page Properties Report too.

One workaround I’ve seen is to standardise on a Page Properties section going forward just for pages where tracking status matters—but I get that’s not always doable retroactively.

We actually built Advanced Status Labels for Confluence for this exact kind of thing. It lets you drop in structured, dropdown-style labels anywhere on the page (like a “Status: In Progress” pill), and then you can search and list all pages using that label—even if they don’t have Page Properties or follow a strict template. It's free too, so might be worth checking out if you’re after more reporting-friendly status tracking.

Hope this helps someone down the line.
