Restricting "meeting notes index" page to sub pages

I am currently trying to use 1 space for all business units in Confluence and to create 2 Meeting Notes Index pages.

My intention is that the "Meeting Notes Index 1" page is available to usergroupA and all meeting notes are created as sub-pages of the "Meeting Notes Index 1" page.

The problem now is, that the "Meeting Notes Index 1" and "Meeting Notes Index 2" page show the same overview of tasks and info.

Is it possible to restrict the "Meeting Notes Index 1" to only show info related to sub pages within the "Meeting Notes Index 1" page?

Hi Kian,

If you want two sets of meeting notes within the same space, you can do this using labels:

If you edit the "Content Report Table" macro on your meeting notes index, you'll see that it uses the "meeting-notes" label to identify which notes pages to show:

You can remove this and replace it with a label of your choice. For example: "user-group-a-meeting-notes".

Do the same for the "Task Report" macro.

Then make sure you put the "user-group-a-meeting-notes" label on each of the meeting notes pages that you want to show. For your other index page, you can use a "user-group-b-meeting-notes" label and again, set that on the pages you want it to show.

The downside of this is that, when your users create more meeting notes (perhaps by clicking on the "Create meeting note" button on the index page) they will be labelled with the default "meeting-notes" label, so won't show on any index page.

You'll either have to tidy up by adding one of the new labels, or educate your users to add the extra label when creating new meeting notes.

To take it a step further, you could explore creating your own custom templates for meeting notes (one for "user group A meeting notes" and one for "user group B meeting notes"), and preset the labels in the templates.

Then you can update the "Create meeting note" button on each index page to use the appropriate template to create new notes pages. That way they'll get stamped with the right label. 

I haven't done this myself, so I'm not sure how simple it is replicate the standard meeting notes blueprint in a custom template. In theory it should be possible to get close. 

Maybe others will suggest a better way.

Hi Sam

thanks for the advice. I took your advice for the more complicated route, which in fact easy:

I created a custom template based on the blueprint and populated the label with my label of choice and am using the templates now instead of the blueprints.

All works fine now

Hi ... I'm new to Confluence space administration. This post is a couple of months old but I'm hoping that someone will see this reply. 

For those of us who are trying to replicate this result ... Sam or Kian, can you provide exact steps? I'm not getting the result that others are getting.

I'm happy to provide more info on my own steps if needed.

  1. I create a child page and assign the label "abc" to it.
  2. I create a custom meeting notes index template.
    * Within this template, the task report macro and the content report table macros both have the label "abc".
    * I also make sure to assign the label "abc" to the template at the top level (label icon).
  3. I create a custom meeting notes template with the top-level label "abc."

When I create a new meeting note using the custom meeting notes template, I expect that a meeting notes index page will be created with the new meeting note as its child. I also have some hope that the meeting notes index will be the child of the page I created in step 1. 

Instead, the meeting note is created at the top of the page hierarchy (exactly what I don't want). Also, no meeting note index is created.

Hi Amy - We (or at least, I) didn't create template for the meeting notes index.

What I did in my space was:

  1. Used the Atlassian-provided template, which on first use, creates a meeting notes index and a meeting notes page  (for some reason, when you do this for the first time it does not create the notes page as a child of the index, so I just re-ordered the pages to put that in the right place. I create subsequent meeting notes pages using the button on the meeting notes index and they are created as children, so all good there.)
  2. Made a copy of the meeting notes index page, so that I now have two meeting notes indexes in the same space.
  3. Both meeting notes indexes were listing all meeting notes pages in the space, so I updated the labels on the meeting notes pages and in the macros on the meeting notes index pages, along the lines mentioned in my first answer above.
  4. I have to manually keep the labels correct on the meeting notes pages, but that's not too much bother.

Kian went a step further and:

  • made two new meeting notes page templates, one for team 'A' and one for team 'B'. These are based on the Atlassian provided template, but set with custom labels, rather than the standard 'meeting-notes' label.
  • updated the "Create meeting note" button macro on each of the meeting note index pages, so that each creates a notes page using the approriate template. This means the correct label is set automatically.

Can you walk me through a specific set of steps to create a meeting notes index? 

I cannot create a meeting notes index. I tried creating a new space, but all I'm left with is a meeting notes page and no index.

How do you update the "Create meeting note" button? I have this problem now, where the create button is applying the wrong label because I copied the page from another location. I've changed all the other labels, but using the Create button is creating pages with the wrong label applied, so I have to manually change it.

@Dirk Jenkins - you need to create a page template and add the label(s) you want to that:

Then you can use the 'Create from Template' macro to make a button which creates the pages using that template:
