I have several pages with status "Rough draft". How can I make a list of all these pages within a space?

Hi @Saskia Veldhoen ! 👋

If you’re looking to list all Confluence pages within a space that have a specific status like “Rough draft”, there are a couple of ways to do that depending on how you’re managing the status.

If the status is stored in a metadata field, a label, or a specific part of the page (like a status macro or table), a flexible solution is to use Dashboard Hub for Confluence.

I’m Javier Coira, and I help build Dashboard Hub — with it, you can:

✅ Use the Custom Reports gadget to create a table showing only the pages that meet specific criteria (e.g. “Rough draft” via label or metadata)

✅ Use the Custom Charts gadget to build visual summaries and interactive filters based on status, labels, author, or update time

✅ Embed both gadgets into any Confluence page or dashboard and have them update automatically

✅ Combine with metadata tools (like Comala Metadata) or macros (like Page Properties) for advanced use cases

🔍 Here are two live dashboard examples you can explore:

• 📄 Custom Reports Example (slide 5):

Let me know how you’re currently marking pages as “Rough draft” (labels, macros, etc.) and I’ll be happy to help you set it up! 🙌

@Saskia Veldhoen Use the statuses by Better Content Archiving and Analytics, that way you can embed the Page Status List macro (comes with the app) in your pages to list pages in any given status. (These statues are updating automatically and have further advantages over the built-in ones, see here.)

It'll look like this:

@Saskia Veldhoen get an instant list of all pages with 'Rough draft status' (any status) using Space Content Manager app:

Status manager is one of a suit of bulk content editing features in the app.

I want a list in another page, so no dashboardish list.
I saw that the content manager in Confluence gives you the option to filter all content by status. The result of that list, I would like to include in another page.
Does anyone know whether that's possible?

Thanks for the clarification, Saskia!

Just to build on what we discussed earlier: while you can’t directly embed the results from the Content Manager filter into a page, you can insert a filtered list of pages into any Confluence page using a macro, specifically with the Confluence Custom Charts gadget from Dashboard Hub.

Here’s how it works:

✅ Add a macro - Dashboard Hub gadget

✅ Configure the gadget once (using CQL or filters),

For example, if you’re using Confluence’s built-in page status (like “Rough draft”, shown here):

page with status.png

You can use this CQL inside the gadget:

space = ds AND pageStatus = "Rough draft"

And then embed it into any Confluence page like this:

📘 Macro documentation:

🔎 Note:

The status column (as shown visually at the top of the page) cannot be displayed in the table when using this gadget.

If you need to include that status as part of the data shown, we recommend using the Custom Reports gadget — it’s more advanced and supports additional metadata and fields.

Let me know if you’d like help configuring that version too! 🙌

Hi @Saskia Veldhoen I'm sure there's a few options to get this. One option I was thinking of would be to create an Automation to send you an email. I know there is a condition to pick the status and have it send you an email, but I'm guessing you don't want an email for each article.

It appears there are some Marketplace apps that might be able to give you better reporting.  I don't have Premium to see if there are some other options.  I'm going to be working with that Automation to see if I can get it to work for me, as I'm going to be looking for something similar.

I took a quick look on Atlassian's Jira Site, and didn't see anything related to it.  Feel free to create a suggestion out there.

Hope that helps.
