Automation Copy Form Failed

Hi all,

 

I tried to set an automation rule, when a JSM issue created, clone the issue to the other project, also attach the JSM form.

I created issue from JSM customer portal, the automation rule be ran successfully, saw the cloned issue in the other project, however, I also got 2 errors

1. When creating issue, I set the summary as {{issue.summary}}, but the cloned issue summary become CLONE - {{issue.summary}} 

2. In the JSM issue, the form is submitted, but the form was not copy to clone issue, I checked the audit log, it shows "No form attached"

May I know what is the possible reason and how to fix it?

HI @Jack Yang 

Regarding point 1, CLONE - is the default prefix when cloning an issue, this can be adjusted in the system settings.

I rather would provide you with the option to create an issue in the other project and copy information from the original issue.

Instead of the Clone action, use a create action and choose the required issue type in the destination project and set the required fields

to be sure I would even add a Re-fetch action in between, before copy the form from the trigger issue.

It seems you're running into two common challenges when automating issue cloning with JSM forms. 

Jira's native automation does not support copying attached forms from the original JSM issue to the cloned issue. Forms are tied to the original issue and aren't automatically replicated when the issue is cloned.

Solution: You can use Smart Forms for Jira add-on developed by my team

Smart Forms for Jira is an advanced form management tool that allows forms to be copied seamlessly along with cloned issues. Here's how it works:

  1. Want to create a new issue from form submissions? Follow these steps to ensure all form responses map correctly to Jira issue fields:

      1. Create Your Form:
        • Go to the Smart Forms add-on and create a form that captures all necessary data.
        • Add fields like "Request Type," "Description," or custom options based on your workflow.
      2. Enable the "Create New Issue" Option:
        • Open your form’s settings and enable Create New Issue.
        • Select the target project and issue type where the form will create issues.
      3. Map Form Fields to Jira Fields:
        • Map each form field to a corresponding Jira field, such as Summary, Description, or custom fields.
        • Example:
          • Form Field: "Your Request" → Jira Field: Summary
          • Form Field: "Details" → Jira Field: Description

      2. Save and Share you form in any way: auto-add to selected issues after creation, add to JSM customer portal, add to issues manually, share with link externaly, embed on confluence or website.
  2. Steps to Fix Your Issue:

    • Create and use your form using Smart Forms for Jira.
    • Submit form
    • Use the automation rule to clone the issue. Smart Forms will ensure the attached form and its responses are copied to the cloned issue.
