Complete sprints in unavailabe in spite of correct permissions in all related projects

Hi there!

We are still running server, version 8.13.6., and will be running it for some time, so moving to other hosting is not an option at this time.

The problem is that we have a couple of users, who have been happily managing sprints for some time now, but a couple of weeks ago their options to complete and starts sprints have become unavailable, greyed out.

The weird things about it:

  • we cannot identify any event that happened to these user accounts a couple of weeks ago
  • not all accounts with the exact same permission are affected (some users with the seemingly same permissions have the options active)
  • the affected accounts have manage sprints permissions in all projects included in the sprints
  • there are no simultaneously active multiple sprints in this case, so the solution for the problem where simultaneously active sprints could not be closed will not will work in this case

I am stumped. Need help. Any ideas anyone?

Hi @Gergely Groupama 

As a simple first check, can you share the Board's filter?

I know you've stated this is not the issue - but this is most often the problem.

Something else I would check is whether any other issues have been assigned any of the Sprints present on this board.

You can do that by...

  • Getting a list of all relevant sprints / sprint IDs
  • Searching for issues which are assigned to those sprints, but are not in one of the Projects mentioned in the board's filter

^ It is possible to add sprints to any issue via the issue detail screen, so a user might have done this - thus including another Project in the sprint's scope, which this group of users might not have the sprint management permissions for.

Thanks for your quick reply, Steve

The filter for the board has 295 projects... (yes, I know it is stupid, but this was put into place way before I cam eonboard here), but the actual sprint has issues only from 6 projects all of which I checked for the necessary permissions and the appear correct. Is it possible that not only issues included in the sprint, but all the projects on the board need to be correct? Because that would be a major effort to check them all.

We have a system where department leads have across the board access to all the projects (all 295), and only some of them are facing the problem of not being able to manage sprints. But the others can manage sprints across the board.

Hi @Gergely Groupama 

Given the Board filter references all Projects (i.e the field data after the OR could be any Project, not just 6) - Department Leads would need the appropriate Permissions in all 295 to manage sprints.

Checking all 295 is likely not ideal - instead, I would have a Jira Admin...

  1. Go to Jira Administration (cog icon in top-right) > Issues
  2. Select Permission schemes from the left-hand menu
  3. Locate all schemes in use by these Projects (hopefully a small number)
  4. Add Department Leads to all relevant sprint permissions - i.e edit sprints, manage sprints, and start/complete sprints - using a user Group

^ Then see if this resolves the issue :)

I am one of those lucky JIRA admins. :)

In theory all 295 project use the same permission schemes, but I will check.

Again, in theory all leads have the necessary roles for the manage sprints permissions. I will check. I'll be back in a couple of weeks with the answer... :)

Adding to this...

Do you have the Jira Service Management product also available on this Jira instance, and if so, do you have any of those types of projects in existence on the instance?

If so, then not only do the users need the Manage Sprints permission in those projects, but they must also be a licensed Service Management Agent in those projects.

Thank you Steve, your guidance has lead me to the solution.

We created (well I did) a new project last week with shared configurations, which I supposed would bring along the same setup within users and roles, but it didn't, so the active directory group with all the leads ended up missing.

Therefore, the leads did not have sprint management permission for this new project.

As this project was included in the board we had the problem with, some of the leads had their completion permissions greyed out.

I am still wondering why only some, since the problem shouls have affected everyone, but I am happy that the immediate problem is not solved.
