KPI for time spent in several phases of different projects

Dear,

 

In each of our projects we have several stages for instance "Concept validation" and "R&D Design". For each stage i want to know the time between "created" and "resolved" date and put these results in one graph.

So i can make a graph for all the phases "Concept validation" of the past year.

So i can make a graph for alle the phases "R&D design" of the past year.

Next to that i can put on a target time and so create a KPI for each phase.

I have already tried the app "Performance objective" but i can't select the phases, i can only select the projects. So i can't go in further detail.

You didn't mention whether you are tracking those stages as statuses in your workflow or separate issues. In either case, I can recommend our app Timepiece - Time in Status for Jirafor this exact need. It is available for Jira Server, Cloud, and Data Center.  

Time in Status mainly allows you to see how much time each issue spent on each status and on each assignee.

First, let me talk about a few features then I will get into details about your use case:

The app has Consolidated Columns feature. This feature allows you to combine the duration for multiple statuses into a single column and exclude unwanted ones. It is the most flexible way to get any measurement you might want. Measurements like Issue Age, Cycle Time, Lead Time, Resolution Time etc.

For all numeric report types, you can calculate averages and sums of those durations grouped by the issue fields you select. For example total in-progress time per customer (organization) or average resolution time per sprint, week, month, issuetype, request type, etc. The ability to group by parts of dates (year, month, week, day, hour) or sprints is particularly useful here since it allows you to compare different time periods or see the trend.

If you are tracking these stages as statuses in your workflow, any basic Status Duration report of Time in Status will help you see them. If a stage is represented by multiple statuses in your workflow, you can use the Consolidated Columns feature to combine those statuses into a single column.

If you are tracking stages as separate issues, you will need to mark those issues for stages. You can use the component field, label field, or some custom Select List field for that. Once you do that, you can either use JQL filters to get TiS reports for each stage separately or you can get a single report and group the issues by component (or label, etc) to get averages by stage. Grouping by the component (or label, etc) field and also time fields will allow you to observe the trend. Of course, all of these can be turned into charts.

Time in Status calculates its reports using already existing Jira issue histories so when you install the app, you don't need to add anything to your issue workflows and you can get reports on your past issues as well. It supports both Company Managed and Team Managed projects.

Time in Status reports can be accessed through its own reporting page, dashboard gadgets, and issue view screen tabs. All these options can provide both calculated data tables and charts.

And the app has a REST API so you can get the reports from Jira UI or via REST.

Using Time in Status you can:

  • See how much time each issue spent on each status, assignee, user group and also see dates of status transitions.
  • Calculate averages and sums of those durations grouped by issue fields you select. (For example, see average InProgress time per project and per issue type.)
  • Export your data as XLS, XLSX, or CSV.
  • Access data via REST API. (for integrations)
  • Visualize data with various chart types.
  • See Time in Status reports on Jira Dashboard gadgets

Your information was very helpfull. I'm also trying to find the wright graphs using the App "Performance Objectives". So depending of what the goal is i will switch between the Time in Status app and the Performance Objective App.

Thanks, @Ste Wright for suggesting our app eazyBI for Jira. eazyBI allows analyzing individual time spent in individual statuses or group several statues in cycles and analyzes time spent per cycle (available in the cloud and planned for the next upcoming eazyBI version 6.5).

Here is a demo dashboard with some example reports on this.

Are the phases/stages Statuses? 

If so - you will need an App - for example...
