Let external partners VIEW internal board

Malin Svensson June 1, 2020

Hi!

So, our company has just started working with JIRA and kanban boards to kepp track of internal work between our departments. Our boards are set up per partner but is only visible for emplyees within the company.

Long story short, we would like to share one of the boards with one external clients - without them having access to or see any of our other boards.

Is that possible?

I have tried to simply add external email adresses (outlook.com) and assigned the profile to a role but all roles I can chose from gives the user full access to ALL boards.

hello @Malin Svensson welcome to the community. If you restrict the visibility of the boards queries you will be able to decide what will you show to the customer. Anyway keep in mind that in order to see the tickets within the board they will need access to the whole Jira project. If the project contains info from other customers you will have to use issue security levels to restrict the visibility of the tickets within that same project

Thank you!

I wasnt part of settig up the board queries, but as it seems, if I change the queries for this particular board, they changes will apply to all other boards/projects as well as each board is built on the same board type.

The external partner needs to be able to view the tickets, which is fine as we only have 1 partner/board anyway.

You can either create a new board or replace the filter of an existing one in order to change the visibility of the filter and impact only on the desired boards

Ok..

Im fairly new to JIRA :D and the only filter I can find for the board is the JQL to filter the cards, which is not the filter Im looking for.

Where can I find the "restrict the visibility of the boards queries" that you mentioned in your first comment?

Thanks,

Malin

@Malin Svensson apologies for the delay.

Check this documentation to know more about using filters and how to share them

Hi,

no worries!

I had the time to look around for myself and I managed to solve it (I think).
I created a Group for our company employees. And for our internal projects, I edited the workflow permission scheme for that workflow to only show for the company group.

I also created a Group for the external clients. For this particular project I wanted to share with external clients, I created a new permission scheme which I connected to this particular project. For the permission scheme I chiose it to show for only the company group as well as the group I created for the external clients.

Perhaps not the best explaination :D and maybe we´re saying the same thing :) but problem solved! :)

Thanks!
