Mail Server Sanity Check

josh.luttrell March 17, 2023

Alright, I've read through Atlassian's documentation on this a couple times and just need a sanity check to make sure I'm interpreting this the way I think I am.

This is what I'm referencing: https://support.atlassian.com/jira-cloud-administration/docs/create-issues-and-comments-from-email/

Scenario:
requests@domain.com needs to be able to open/update issues in Project A and all other projects need to continue using the default mail server

Setup:
When we create the incoming mail server itself, we can use pretty much any admin account from the mail server (preferably a service account) to authorize the connection.

Then when we get to the mail handler itself, we would use requests@domain.com as the catch email and also tie it directly to the Project A from the same handler settings.

This should enable Project A to use the requests address as a send/receive address for that project and that project alone while every other project will continue to operate over the default server as normal.

Am I missing something here or am I interpreting this correctly?

Hi @josh.luttrell ,

Your understanding of the setup is mostly correct. Here's a summary of the steps you mentioned:

  1. Create an incoming mail server using an admin account (preferably a service account) to authorize the connection.
  2. Set up a mail handler with requests@domain. com as the catch email, and specify Project A in the handler settings.

This setup should enable Project A to use requests@domain. com for creating and updating issues via email, while other projects will continue using the default mail server.

However, there's one aspect that needs clarification:

The mail handler you create for Project A should be configured with a specific "Issue Type" and "Project Key" to ensure that only issues in Project A are affected. This will prevent any interference with the other projects' email handling.

If you follow these steps and configure the mail handler correctly, you should achieve the desired result of having requests@domain. com only affects Project A while leaving other projects to use the default mail server.

Excellent, I knew I wasn't too far off the mark but I guess staring at it for so long caused me to over think it.  Thanks for the additional guidance as well, that should be a simple addition but definitely could've caused problems.
