Hi there,

I'm new to JIRA and have set up a board for my team.

I have questions around balancing keeping people in the loop but not overwhelming their inbox with updates.

I have Assignees who are different then the Project Owner but follow that the PO needs to action. The PO would like to see in JIRA all the follow-up that they are responsible for (I'm currently doing this manually and creating a running list, but this is not sustainable as the project continues). We are using @mentions and Watcher, but then the PO receives too many emails.

Is there a feature or board view that shows follow-up to tasks for non-assignees? When do people get email notifications - when their Assignee, Watcher, and/or @metnion? Also any JIRA fundamental videos/resources would be super helpful.

Thanks so much!

Alice

Hi @Alice Ng Bouwma

Welcome to the community!

Jira applications support the following events, which can generate email notifications (as defined in a notification scheme). Click here to view these events as described in the article.

Although, Each user on your Jira Cloud site (including you) can choose to turn off email notifications for certain situations, to reduce the amount of email they get from Jira. For instance:

  • They are watching the issue
  • They are the reporter
  • They're the assignee for the issue
  • Someone @ mentions them
  • When they make changes to an issue

For a user to change these, they can:

  • Click on their profile icon on the top right corner
  • profile and settings > Personal settings.
  • Click the Email notifications for issue activity dropdown.
  • Choose Send me email notifications.
  • Select (or Unselect) the relevant checkboxes for notifications they want to receive (or not).

This article might also be worth a read after you've had the chance to review notification schemes

There are two types of events within Jira:

System — System events are used throughout Jira internally, and cannot be added or deleted. You can, however, make them Inactive (see below).

Custom — Custom events are used to generate an email notification (or invoke a listener) from a particular workflow transition's post function. You can add and delete as many custom events as you need. Note that only inactive custom events can be deleted.

Hope that gives you a starting point!

Best regards, Hamza
