Adding existing project to existing kanban board.

Richard Jones August 27, 2021

I am trying to use one Kanban board for multiple projects. I know this is possible. The issue I am facing in JIRA Cloud is when I edit the filter query and save as a new filter (just save is not an option), the new filter doesnt show up on the drop down as an option to change for the board.

I cant insert a screenshot, but what I am seeing on the Kanban board settings is a Red Lock Icon next to the Shares. I feel like that maybe preventing the action I am trying to take. So my ask is two fold.

1. What does the Red Lock Icon on project shares mean and how do I get rid of it.
2. Is that what is preventing me from having multiple projects share one Kanban board?

Hello @Richard Jones

Welcome to the community.

Are you an Administrator for the specific Kanban board you are trying to modify?

Are you the owner of the filter on which that board is based?

If you are not the owner of the filter, that explains why you had only the Save As option when modifying the filter itself. You need to be the owner of the filter to modify it and save it under the same filter name.

Since you now have created a new filter, based on modifying the original filter, you need to associate that filter to the board.

If you are an Administrator of the board, you should be able to click in the Saved Filter field on the General Settings for that board, and change which filter is used by the board.

Thank you very much for responding so quickly!

I am an administrator. The owner is "Former User" and no one here knows who the former user is. I would like to change that if possible to myself.

When I click the edit filter and try to select my new filter (its permissions are set to Organization), I do not see it in the drop down.

A Jira Administrator can change the owner of a filter to another user by going to the Gear button (next to their avatar) and selecting System, then Shared Filters. Search for the filter and then click on the ... button on the right next to it, and Change Owner will be an option for the Jira Admin.

As for the filter not being available in the list of Saved Filters, there are two things to try.

1. Try typing in the name of the filter. There may be so many filters to display that the full list is not shown and your new filter is part of the list that is not showing.

2. Refresh the page and then try clicking the field and searching for the filter.
