Can I check if I can generate reports and how to generate resource utilization report ?

Two queries:

1) How to check if my account has required privileges to generate reports in Jira software (cloud version  - 2023 Atlassian)?

2) If I have privileges, then how to generate resource utilization report - for my given team? Assume that - the team members regularly update their tasks, efforts and status - in user stories religiously. I need the navigation, if available to such a report in Jira.

Hi @chandra_karri 

Usually users have the right to view and create reports/dashboard, provided they have access to the project.

Creating a workload/resource utilisation report in Jira has always been a challenge without a paid app however you can always look at your project reports or create a your own dashboard.

  • Use native project reports called "User Workload Report", "Workload Pie Chart Report" and "Time Tracking Report"
  • Create a Pie chart based on assignee
  • Use Two Dimensional filter Statistics gadget
  • You can always export data to a CSV and build your own reports

Search on Google you will find plenty of video tutorials on this topic.

If you're OK with using third-party add-ons, I guess Time in Status for Jira Cloud will help you in this case. 

If I understand you properly, you want to track the team's effort in the workflow process. If so, this add-on will fit your needs perfectly.

It allows generating 7 types of status time reports to identify bottlenecks and track team efficiency. 

The Time in Status report shows the time spent in each status.

The Assignee time report allows tracking of how long it takes each team member to solve the task.

If you need more reports, you can discover our documentation page and choose the one that fits your needs the best.

It allows sharing reports with colleagues and exporting them to CSV or XLSX files for further analysis-what is very convenient.

If you want to track the time spent in status without entering the add-on, you can try the Custom field functionality and monitor the necessary data directly on the Issue Card layout.

Hi @chandra_karri

As an alternative, you can try Status Time Reports app developed by our team. It mainly provides reports and gadgets based on how much time passed in each status.

Here is the online demo link, you can see it in action and try without installing the app.

  • This app has a dynamic status grouping feature so that you can generate various valuable reports as time in status, time in assignee, status entry dates and status counts, cycle time and lead time, average/sum reports by any field(e.g. average in progress time by project, average cycle time by issue creation month).
  • You can search issues by Project, Issue Type, Status, Assignee, Issue Creation/Resolution Date(and any other Date field) and JQL Query.
  • Status durations are calculated according to the working calendar you define. Once you enter your working calendar into the app, it takes your working schedule into account too. That is, "In Progress" time of an issue opened on Friday at 5 PM and closed on Monday at 9 AM, will be a few hours rather than 3 days.
  • You can set different duration formats.
  • You can export reports in CSV file format and open them in MS Excel.
  • You can also add this app as a gadget to your Jira dashboards and reach “Status Time” from Issue Detail page.
  • You can enable/disable access to Status Time reports&gadgets and Issue Detail page per project, users, groups or project role.
