Having Trouble setting up a Process Workflow in Jira

Sean Edler January 23, 2019

I am looking to setup a workflow to work for our billing department, but have not needed to create custom workflows before. I am lost on this currently :(

Anyone's ideas would help me

1. (Deal Setup Team) creates the ticket -> Ticket is sent to Ops Manager (selected at submit)

2. Ops Manager

  • Approve -> to CSM (selected at submit)
  • Reject –> Step 1

3. CSM initial Approval

  • Approve -> to TMProduction (no selection needed)
  • Reject -> Step 2

4. TM Production

  • Approve -> to Billing (no selection needed)
  • Reject -> Step 2

5. Billing

  • Creates Final Invoice and sends to CSM for approval (selected at submit)

6. CSM Final Approval

  • Approve -> Billing to send to Customer
  • Reject -> Step 5

7. Billing closes Ticket indicating sent to customer

Hey Sean, welcome to editing jira workflows! It can be a bit scary if you've never done it before, particularly when it looks like you're trying to achieve some custom statuses in there!

My main piece of advice here is to try and keep things as generic as possible with a view on keeping them as simple and widely applicable in the future as you can!

As an example I would avoid using CSM Final Approval, opting instead for simply Final Approval; this will help you in the long run to keep things clean and not have IT Final ApprovalLegal Final ApprovalHR Final Approval, as potential statuses that could all have simply re-used the same Final Approval that you were mindful to use in the first place!

Now that I've imparted what I hope to be a valuable piece of my wisdom for you, you should definitely read up about workflow manipulation in Atlassian's knowledgebase, here are a couple of pages to get you started:

NB. In the top right you should see Cloud and Server, which is where you can select the version you use for more detailed guidance!
