Adding Automation for Jira as a user

Hello community! I have a Jira team-managed project. I also have added restrict transition to the workflow of my project. The users who can make transitions to certain status are limited to my team (my lead and myself). I also have a lot of automation set up like auto-populating of the date fields, automated comments and transitions, etc. The rule actor for this is Automation for Jira. I noticed that for the those transitions limited to my team, Automation for Jira cannot make the changes. I tried to add Automation for Jira as the user who can transit in my project workflow but there is no option for that. Is there a workaround for this?

I have tried to create a group in my project to my team but i think that is not too helpful either as I cannot add Automation for Jira in the group. So I resorted to users only in the workflow.

I am facing the same issue for my other team-managed projects. How do I make sure that rule actor is Automation for Jira and that it can also be added to the users who can transit the issues? This is vital because if I am on leave, it cannot be me who is doing the transition.

Thanks in advance.

Hi, @Nur Fatin

If you're talking about Automation for Jira user, than just add condition in workflow, that users in role atlassian-addons-project-access can make transitions.

Hi @Evgenii could you show me an example to do that, please? I am not a Jira admin, but I am the admin of the project. Thanks in advance.

Hi @Evgenii how do I get to the page you shared above? This is how my transition options look like in the workflow. Can you help to show me where, please? Thank you!

Hi, @Nur Fatin

If I understand correctly, you're using a Team Managed project — which has a completely different approach to permissions and management.

To control transition access, you'll need to:

  • Modify the project roles
  • Create a new role without transition permissions and assign it to the users who shouldn't have that access
  • For users who do need transition permissions, keep them in a role that includes those rights

Hi @Evgenii how do I add "Automation for Jira" as the user? Because I don't see it coming up when it comes to the user. The issue I am facing is that in the workflow, I have added my team members (who are actual users) to the restrict transition rule. However, I cannot "Automation for Jira" to the list as there is no option coming up for it. I do have automation rules set up and the rule actor is "Automation for Jira", but since transitions can only be done by my team members, is there a way for my add "Automation for Jira" as a user so that it can also do transition? Thanks in advance.
