We are running some extraordinary tasks that triggers alot of automations.
This brings us very close to the current automation limit.
The premium license is very clear each user add 1000 automations. As Atlassian does not sell buckets of automations, adding more users at the premium cost level seems to the price pr. 1000 automations. This is not a pricing question or complaint, it is what it is.
Now for the question:
When i add users, lets say today, when does the 1000 extra automations become available?
When does the rules usage total automations update?
Thanks in advance
Jens
Hi
Just to follow up on this should anyone come by here and wonder how this ended.
Today, Friday, around 48 hours later the users i added Wednesday has added towards my automation limit. This may have happend anywhere from Tuesday morning where i last checked til now.
Need more automations, add more users, wait around 24 hours, as easy as that.
Thanks for input from you all.
Best
Jens

Hi @JensH
It should align to your tier if you're on annual (as far as I know). If on monthly, the amount of executions should increase immediately when you add an additional user.
Is this a one-off though? If not, I'd recommend getting some assistance to see if there's alternative methods of doing these tasks, or ways to formulate the rules.
Could you provide some more details on the rules so we can assist?

Hi @Ste Wright
We use jira to manage our primary processes, tender, order, shipping and QA.
Each of these fetches various data from MS Business Central via GET rest calls to the BC API.
On top of this we have the actual processes that sets due dates, assigness, creates orders based on tenders etc.
Finally we working on exposing some of the internal Jira data to external systems as well. The idea is that for external system jira is our primary source not our other backend systems.
As we are pushing data to the external systems we trigger many of the other automations again to ensure that all data is updated before we push to the external system.
In daily operations this setup does not seem to cause any issues, we are a low order count business. In the past year i think we have around 2000 issues for tender, order and shipment in total.
As we are working through our acceptance test for the external systems we run full data loads more than once. This is causing issues with automation limites over the next couple of months.
So to answer you, this is one off, even though the it may be ongoing for a month or two.
I have checked, we are on monthly billing.I have added two users more today, I dont see the automation limit count go up.
Does this clarify ?

You will have to forgive me as this may not be the place, but I administered many JIRA installs in the past and didn't have automation available to us (beyond some things embedded in the workflows).
Are there ways of automating outside of the embedded automation? We used to do some tasks based on DB triggers but of course that is no longer possible.
Hmmm...sounds like an opportunity. The key is letting an external automation tool know that action is needed. I think anything that can be done in JIRA can be accomplished with REST calls.
Just noodling. I'd be happy to try to assemble an external process / mechansim

Hi
Jira cloud has internal automation framwork that handles alot of stuff rather easily. I dont think that we looking for handling more via API than we are already doing.
Thanks

That makes sense, and your replies later in this thread help show that you aren’t “afraid“ of the API. it just struck me that there have been a few posts that complain about the automation limit. And of course the API is Atlassian as well. And I guess the benefit of the API as you pointed out later is the ability to touch multiple systems, both in and outside of Atlassian.
it’s nice to have multiple skills in your tool bag so that you’re not restricted to one way of doing things.

Hi Jens,
I would assume it would be immediate upon your adding the new users. Assuming that doesn't take you to a new tier to have to pay first.
Also not sure if the 1,000 executions are for actual number of active users you have or the number of licenses you have paid for. For example, you have 188 users of a 200 license block. Is it 1,000 x 188? Or 1,000 x 200?

I think its clear from:

After re-reading it i could move us to standard and get more automations and just cross fingers for the SLA part for next month or so :) Joking, its not really an option.
Thanks
Jens

One comment I have received elsewhere is that it is based on the number of active users you had at the time of last month's bill. Is that what you are seeing?

Yes that is what I'm seeing.
It's actually fairly interesting.
If I don't get the automations now, but at the next start of my billing period and I in the meantime remove the users again its all off by the number of users. Minor issue.
On the other hand I do see design meeting where the number of automations is calculated at billing time as it just removes a lot of other problems. If this is the case then following is odd:
The number of automations reset 1/4 and thats not the start of my billing period.
I can see other people requesting to buy buckets of automations. I understand that Atlassian sell seats, so it would make sense that adding users is the way to buy more automations. If that is the case, it is really unclear when they become available.
Thanks for clarifying
