Auto move issue out of backlog based on field status

We are using a Kanban board our team.  We primarily run projects based work (dev and Project management tasks) be we also field a fair amount of inbound support issues from our company at large.

I would like the inbound Support type requests on our board which normally go into the Backlog to instead be directed to the Todo Column in the board in a separate swimlane

I am having trouble figuring our how to configure workflows to accommodate this specific goal (I already and the correct rules for the tickets once they are on on the Kanban board to live in the swim lane)

Hi Scott - You can use Automation For Jira or JMWE to auto-transition the issue to the To Do status.

Yes, Automation For Jira is not free, built-in for Jira Cloud.

  1. Go to Project Settings > Project Automation (on left-hand menu)
  2. Press Create Rule in top-right corner
  3. Select the Trigger "Issue Created" and press Save
  4. Next Select to add an Action, and choose "Edit Issue"
  5. Select the field Label
  6. Select the options icon (3-dots) - and choose "Add/remove values"
  7. Enter the value you want as a default and press Save
  8. Name your Automation and turn it on

Now when each issue is created, it will add the desired default label as long as the issue is created in that project. You might need to refresh the page after each issue creation to see it.

You can do this via global rules to apply to all projects also. You'll need to be a Jira Admin/Site Admin, then instead of going to Project Settings, go to Jira Settings (cog icon on left-hand navigation bar) > System > Automation Rules (left-hand menu).

Hi Scott,

I would recommend using Automation. Every time a new issue is created you would transition it from the initial status (to do) which equates to your backlog to the initial Kanban status (such as In Progress). Further I would add a label in the automation e.g. “new” And use the label to create your swimlane.  Or you might consider creating a new status all together e.g. new and transition all ToDo to New and have a swimlane based on Mew status.

Finally, consider turning off backlog altogether by remapping the initial ToDo status out of Backlog column.

Thanks for the suggestions.  Where would I go to begin to learn how to implement an automation? Is this built in functionality?

As for eliminating the Backlog in favor of going straight into todo, I can't do that.  Our new Project Management Officer has defined the standard for us.  How does this affect the ability to perform the automation that you suggested?

I do not see Project Automations in the Project settings.  Is this built in functionality or is this an addon (cost?)

 

If this is an add-on with a cost involved, then i need to see if there is another may to perform this auto-move based on ticket type and field status from Backlog into the ToDo column

You indicate you are on Cloud. If that is indeed accurate you should have Project Automation.if you go to your project page then in the left sidebar you should see Project settings and in there Project automation is very near the bottom of the sidebar. However, if you are in a next-gen project you will find here - project settings > apps > project automation Please share an image if you do not see in either.
