Automation frustration

When I have an automation created to create subtasks when a task is created, it is instantly marking them all as Done. What am I doing wrong?

Hello @Beth Wilkinson 

When you say "it" is getting marked as Done, do you mean the newly created subtasks or the parent issue?

Can you show us the workflow used by subtasks and their parent issue types in this project?

With the images provided have you shown us all the steps in your automation rule?

Can you show us the details of one of the steps where you are creating the subtask?

Can you show us what appears in the Audit Log for an execution of this rule?

 

Issue Status value are grouped into categories. You can tell what category the Status belongs to by the color of its lozenge.

Color = green, Status Category = Done

Color = blue, Status Category = In Progress

Color = gray, Status Category = To Do

 

Looking at the images you provided the subtasks and parent issue are all in the status named "New". That status lozenge is showing green which is an indication that the New status has been assigned to the "Done" Status Category. I don't know who created the New status value, but assigning it to the Done status category doesn't seem right. It should've been assigned to the "To Do" status category.

I asked above to see the workflow for your issues because that will show all the Statuses that the issues can move through and (by color) the Status Category for each status. It will also show how the issues can progress through the statuses.

The first status an issue is set to should be one in the "To Do" (gray) status category.

There may be multiple gray statuses. 

There should be at least one blue status to use when there is work being done on the issues.

And there should be at least one green status that is used to indicate work is complete.

 

Some of this information may be accessible only to users with administrative permissions. You didn't indicate if you have such permissions, so if you are unsure how to access this information just let me know and I can provide more guidance.

Thank you so much!!! I didn't even notice the color of the category and once I updated that, it now doesn't instantly show as completed!

Curiously...subtask CORE-48 shows as Resolved and in a status of New.

Yep, because the New status was put into the Done Status Category.

Hi @Beth Wilkinson 

I wonder if there is another rule running which is doing this.  When you look at the history for the subtasks, what/who does it say is moving them to Done?

It does not say, both the Task and the Subtasks are being created as Done which seems very weird to me...
