Hi there,

I was wondering if I can do the following within one of my projects

  1. Set only certain folks to be able to fill out certain fields within only one project
  2. Set mandatory/optional fields within only one project

thank you

Lisa

Not directly. Fields are not protect-able themselves.

You can move the "edit" into the workflow though, so that they users have to go through a transition to be able to edit a field, and that transition can be protected with conditions (like "only admins can do this transition")

Ok, let's imagine you have:

  • A field called protected-stuff
  • A person called Bob who should be able to enter/edit it.  Alice and Charlie can only see the field, not enter/edit
  • A workflow of To Do -> In Progress -> Done

To get the field "protected", you can

  • Add a new screen,
    • call the new screen something clear like "protected field edit screen"
    • add the protected-stuff field to it
  • Go to the project "screens" and find the issue create and edit screens.
    • Remove the protected-stuff field from it
  • Go to the project workflow and add a transition from to-do that
    • goes back to todo
    • has a condition on it saying "only Bob can use me"
    • uses your protected field edit screen for it
  • Save the workflow draft

Now Bob is the only person who can fill or edit the field.  You may want to consider adding more of those transitions  to other status if Bob should be able to edit the field later in the process.

Hi Nic!

thank you so much for your quick response. But I am so sorry....

1) can you help even get to "add new screen". in which menu do I find this?

2) also did you list 4 different options or are these all steps I have to do?

The new screen is under Admin -> Issues -> Screens

Yes, you have to do all those things, you're taking away one route to set/edit a field and adding a completely different route.  There's a lot to do in there!
