Can outside Candidates open a Jira ticket?

Hey, I would like to create an recruitment process where the candidate fill a form and the information is added to a specific jira ticket. can it be done without special add-ons or integrations?

Hi @Roei Soudai , welcome to the community.

Without knowing the full details of your requirements, I would suggest you consider using Jira Service Management application, rather than Jira itself. JSM allows you to have a public facing portal where the applicant could open a request and fill out a form. Internally JSM agents can be assigned to these tickets and process them accordingly. Only the agents need to be licensed. Any customer using the portal are free to use accounts.

Hi Roei,

a)Create a New Jira Service Management Project:

  1. Go to your Jira dashboard.
  2. Click on the Projects dropdown in the top navigation bar.
  3. Select Create project.
  4. Choose Jira Service Management as the project type.
  5. Select a template (e.g., "IT Service Management" or "General Service Management").
  6. Give your project a name and a key.
  7. Select Create.

b)Configure Customer Permissions:

Once your project is created, you need to configure it to allow anyone (even people without a Jira account) to submit requests.

  1. Navigate to your new project.

  2. In the left sidebar, select Project settings.

  3. Click on Customer permissions.

    Here, you'll configure who can access the portal and submit requests:

    • Under "Who can raise requests?", select Anyone can email the service desk or raise a request in the portal. This option allows non-registered users to submit requests.
    • Under "Who can customers share requests with?", choose Anyone if you want customers to be able to share requests with other users.
  4. Click Save to apply these changes.

c)Configure Portal Access:

Now, you’ll make the portal public so anyone can access it.

  1. In the same Project settings area, go to Portal settings.
  2. Copy the URL of your customer portal to share with users.
  3. Ensure that the portal is set to allow anonymous access.

d)Customize Request Types and Fields:

To set up the forms (such as a candidate application form), you can customize the request types:

  1. Go to Project settings > Request types.
  2. Add or customize the request types (e.g., "Job Application").
  3. Define the fields you need for each type, like name, email, resume upload, etc.

By following these steps, you can create an open project in Jira Service Management where anyone can submit requests without logging in. This is ideal for processes like recruitment or external service requests.

Thank you for your detailed answer, but if I need to hire different positions, how can I achieve that? do I need a different form for each position?

You can create a custom field on the Form, eg. (Position) that will be dropdown and have multiple values and make it mandatory. When someone will raise a ticket this field will be requested.

If you use "Forms" in JSM you don't have to create custom fields you can simply build in drop-down fields, radio buttons, etc. on the form. However, if you wish to view statistics on any field then you do need to use custom fields and map to your form field. "Forms" in JSM is akin to Google Forms.
