Create Jira Child or Sub Shared Teams on JIra Cloud

Hi There,

Is it possible to create sub shared teams or child shared teams on Jira Cloud? Please do let me know if this is possible on Jira Cloud.

Hello karim,

We have a big team which has about 25+ associates, but internally they work together in smaller teams. So we wanted to create a parent Shared Team and then create a sub-Shared teams under it. 

Ex: Parent Shared Team Name: Project1 Team

Sub Shared Team1: Module1 Team 

Sub Shared Team1: Module2 Team 

Sub Shared Team1: Module3 Team 

 

Intention is that, when we query for issues from Project1 Team, we should ne able to get all the issues form Sub Shared Teams as well. Also when we select a team from an issue then it can display the Shared Teams like below:

Project1 Team

  - Module1 Team

  - Module2 Team

  - Module3 Team

 

We have many such teams which are big with smaller teams working together, it would be great if we have such a feature to create child or sub shared teams.

Hi Mike

One Solution Could be done within the same JIRA Project, other solutions is possible according to your specific needs. The below solution assuming that you are JIRA Admin and all teams/sub-teams will collaborate within the same JIRA project

Team Model in JIRA

  • we will use Roles to configure Project Teams (Project Team 1, Project Team 2 ..etc)
  • We will use components to configure Sub-teams ("Project Team 1 - Sub Team 1")
  • We will use Label to Refer to Project Teams in Tickets
  • We will Use Components to Refer to Sub Teams in Tickets

Assumptions

  • You are JIRA Admin
  • The workflow will automatically identify the user Project team based on his group/role membership
  • The user will manually select the component that represent  his sub-team during the ticket creation

Solution: How to do it

Configure Projects Teams and sub-teams

  • Create a project role for each project team and add team members to the corresponding role
  • Create a component for each sub-team, you can use a naming convention like "Project Team 1 - Sub-team 1" for example.

Set Project Team name info in the ticket

  • user will select the component that represent his sub-team in the creation screen
  • Configure the workflow to set the label after the creation according to the user role

Query and Searching

  • When you want to fetch the Project Team tickets, use the label field in your JQL --> This will return all sub-teams' tickets for that Project Team
  • When you want to fetch sub-team tickets, use the component field in your JQL --> This will return tickets for that sub-team only

 

Pro-Tips:

  • Whatever the model/Solution you are going to implement, it's always important to on-board teams and explain how to use the JIRA project according to your solution or alternatively create a user manual and promote it to new joiners for faster adoption and better user experience.
  • Set-up and configure Kanban boards for Teams and subteams to facilitate follow-up and reporting activities
