Does editing a status on an inactive workflow change it within the active workflow?

Cory Schulz February 27, 2020

I want to change the name of some statuses in a workflow. I have made an inactive copy and now want to change "Draft in Review" to "Draft Team Lead Review". There is a little information icon that states This status is used in other workflows, editing it will affect them.

Is this the case even though the workflow is inactive? The changes made on the inactive workflow should not affect the active one, right? In other words, can I ignore that little warning?

Statuses are global items, you change the name of them under the "Statuses" link in the Admin area.

If you want to affect just one workflow, then just add a new Status with the new name and remove the old one from the workflow, that won't then affect any other workflows.

Is there a way to find all workflows that use a transition?

Hi Cory,

Statuses are global entities shared by workflows so editing an status in either active or inactive workflow will affect the whole instance. So active workflows will change as consequence.

Hi Jack and Pete,

Gotcha! So what I should do is delete the name of the status I don't want anymore and create a new one?

Thanks very much,

Cory

Yes, add the new one via "Add Status" within the Workflow designer.  You will have to move all transitions from the old one to the new one before it'll let you remove it.

That is!

You can remove the status of the inactive workflow and create a new one. By doing this the name will remain in others workflows while the new workflow will have the desired status name.
