Jira Email Automation is sending emails to ALL assignees in project instead of the assignee to story

Daniel Capps June 27, 2024

My Jira Email Automation is sending emails to the Assignee of the Story and to every other assignee in the project.

Only one person is (and can be) the assignee on the Story.

What in the name of HAL 9000 is going on?!?

Hi @Daniel Capps

You appear to be using Jira Server or Data Center version.

The symptom you see is because the rule trigger has the bulk-handling option selected: "Process all issues produced by this trigger in bulk": https://confluence.atlassian.com/automation/run-a-rule-against-issues-in-bulk-993924653.html

But...your rule action to send email is referencing the single smart value {{issue}}, or just "assignee" in the email to address, which appears to be confusing the rule.  With the bulk-handling option, the plural {{issues}} smart value is used to handle the issues as a set.

Do you want to send one common email to everyone, or one email to each individual assignee per issue?

  • to send one common email, change to reference the {{issues}} smart value, and parse the assignees to split across all of them in a single message
  • to send an email to each assignee (i.e., one per issue), disable the bulk-handling option

Kind regards,
Bill

Thank you @Bill Sheboy

I am looking for the "email to each assignee" solution.

I now see my misunderstanding of the bulk-handling option.

Hello @Daniel Capps

Welcome to the Atlassian community.

When asking for help with an Automation Rule, it will help us to help you if you show us the entire rule. Sometimes unexpected results occur because of the context in which the step is executing. We can't evaluate the context without seeing the entire rule.

Additionally the graphics in your image lead me to believe you are actually working with a Jira Data Center system, though your post tags indicate you are working with a Jira Cloud system. What information do you get when you click on the Help button (in the upper right corner of the menu bar) and select About Jira?
