Progress tracking apps

Сергей Ефимов February 25, 2022

Hi. As a project manager which is managing a lot of projects, i want to know the progress of everyone.

My team is consist of 5 devs and 5 analysts, we are working on about 10 projects. Every project in jira have kanban board (not scrum). We are planning our work with epics in every project. Every epic have an estimate and dates (start & due).

It would be nice if u can recommend me a tool, which will display me progress reports of all epics.

Epic progress is % of completed tasks which is based on tasks estimates.

Example:
We have epic with total estimate 5 hours which consist of 2 tasks, which are estimated in t1 = 2 hours, t2 = 3 hours

Value of t1 = 40% of work, value of t2 = 60% of work

Even if we log into t2 10 hours, after we done its still a 60% of done work cause we still have  t1.

Apps that i found in market count progress based on time u log into tasks that is not correct, cause even if u spent 3 hours on task which was estimated in 3 hours, it still can be not done.

Hope my Eng was not so bad and u can understand me. Beforehand thanks for answers.

Also it would be nice to know % of terms are past by every epic.

Example:
Start date - 21 feb
Due date - 25 feb
On 22 feb % is 40
On 25 feb its 100

Hi @Сергей Ефимов

Welcome to the community !!

I can suggest our app for your requirement.

Agile Tools : Epic Tree & Time in Status

In the Epic Hierarchy screen we have %completed column which shows progress based on the status of the child issues, irrespective of the time spent on them., as shown below.

We also have Time progress % and SP Progress % columns as well.
And you can pick and choose which columns you want to display on the report.

Hope this helps.

Thanks for advice, now testing ur app, how can i display progress based on dates (start/due)? I want to know how many days more we have to do tasks in epic in %.

Like we have 10 days, 5 are past, how can i see 50% progress by terms in ur app?

Hi @Сергей Ефимов

Thanks for your reply.

We don't have this feature currently.

But if this is a must have requirement, then we can certainly build it.

Please do let me know.

Thanks

Rahul

Hi, it would be really nice if u build this function. How many time its needed. U will build that only for us?
Also i have another two questions.

1. On screenshot we can see % completed, it depends on how many tasks are done in epic, but not depends on what value have the done tasks.

Снимок экрана 2022-03-03 в 11.10.09.png

Here we have 2 tasks in epic.
T2.1 is done, it has original estimate more than T2.2 but as we can see in epic, 50% are done

2. On screenshot we can see that epic original estimate is 20h, that counts as original estimate in epic + summ(original estimate in tasks). But original estimate in epic has to be summ(original estimate in tasks). How can we change it?

Hi @Сергей Ефимов

Thanks for your reply.

Yes we will build the progress % based on start /  due dates only for you.

% Completed is based on the status of the child tasks. So if 1 out of 2 tasks are completed it will show as 50% completed.

If you want to see Time progress based on remaining estimates, you can change it from settings screen. More details here.

For Epic roll up, best practices suggest not to be put any time values in Epic, as it should always sum up from below tasks.

Since we wanted to keep it flexible for every user need, we are adding up all values including the parent values, as some users requested it.

But ideally I would suggest to not put any time values at Epic level.

Please advise if it helps.

Thanks

Rahul

Hi. If i use progress based on remaining time. How will it works in this situation:
Epic 1:
- Task 1. Status in progress, original estimate 1h, time spent 1h
- Task 2. Status in progress, original estimate 1h, time spent 2h
- Task 3. Status done, original estimate 3h, time spent 3h

Sum of original estimate = 5h
Sum time spent = 6h
Sum issues done = 1 of 3

For me its 60% of epic cause Task 3 is done and have 60% of all original estimate. Tasks 1 and 2 arent countin in progress cause theyre not done.

I think that progress based on estimate will show me that progress is 100% cause we spent 6h over 5h original estimate. Can we do something with this?

Also, where can i change this setting, cant find settings button in new interface.

Thanks.

The settings button is part of the pop when you click "More" on top right.

For progress based on remaining estimates, the details are explained here

Unfortunately we don't calculate progress based on task status + time spent on other tasks.

But we can discuss this and build it for you.
