Restrict creating oder editing boards on Jira Cloud

Jesser July 25, 2018

Hello Jiras,

we need to disallow creating or managing boards for some customers - or a group "External Users". They only should be able to view the board.

We have already tried to do this by setting the Filter-Permissions for the board. But then the board is not visible anymore for the affected users - only the related issues appear.

Thanks for any advice!

@Jack Brickey- Everything works now like expected. The external user is neither able to create a new board nor to edit a existing board. Unfortunately, the buttons (Board Settings, Create Board) are not deactivated in the drop-down menu on the top right - only when one tries to create or manage a board, the warning appears that this is not possible.

For anyone who wants to create external users with limited access:

- create a group "external-users" with sign-in access to jira-software

- invite a new user and add him to just this group

(at the bottom of the users detail view, add group "external-users" and remove "jira
   software-users")

- create project-role "External Users" and assign this role to the user in project

(this might be helpful for future settings, or to easely revoke permissions)

- create a new permission-scheme from default and assign it to the project

- grant particular permissions to project-role "External Users" or group "external-users"

Thank you, for putting me in the right direction!

Cheers :)

@Jesser, I assume by board you mean Kanban/Scrum board correct? And I assume your customers are actually users in your Jira instance. What you should be able to do is the following:

  • define a new user group, e.g. Customers and add any/all customers to this group and ensure they are not in other groups, e.g. jira-developers, etc.
  • in the project in question you should ensure that the Customers group only has browse permissions.
  • in the board edit the share to include the Customer group

something like that should work.

Thank you for your help @Jack Brickey. Yes - i mean Scrum/Kanban Boards and related Sprints.

- created a group "External Users"

- added the users to the group

- created permission-scheme from default and assigned it to the project

- external users permissions: browse, comment, add attachments

When a user of the group "External Users" is logged in, he has access to just the one project - perfect - but he is still able to edit the board settings and even create a new one.

Any further suggestions ?

Thank you in advance!

can you provide a screenshot of your permissions for the project in question?

Jesser July 25, 2018

Of course. These are the project permissions of the assigned scheme.
