Send reminder E-Mail for Tasks based on due date via filter subscription

Bernd Anderer February 9, 2018

I want to send reminder Mails based on Assignee and Due Date of tasks in a project. I created an appropriate filter which is shared with the project. Now I want to create a subscription which should only run for members of the project.

How can I do this?

I don't want to create any other group as this creates administration overhead.

any idea?

Thank you.

Hi Bernd,

you can create a subscription for yourself or for a Jira group of users.

The group has to be defined in Jira, you can't select "members of the project".

You can create filter subscriptions by clicking on "New Subscriptions" in the search view:

In the following form, select the group as "Recipients" and set the schedule for the subscription.

Thanks for your answer. That means the a Jira-Admin has to create an maintain such a group?

How can I use that as a Project based reminder function? Somehow this does not make sense. I put permissions on the filter (in this case: the project) and the subscription runs for a (maybe) different user group??

Yes, you need a group for that.

Putting a permission on the filter enables your users to use that filter in gadgets or select it from their filter list. Everyone of your users is able then to add a subscription for him/herself.

If you have the "Manage Group Filter Subscriptions" global permission (you also get this from your admin), you are able to do the same for a whole group of users.

If a user from this group is not able to see the project, he/she won't get any filter results (because of the missing project permissions). But if the user has permissions for the project, he/she gets a result even if the filter is not shared with the user.

Thank you. This means a project - all users who have at least browse permissions - can not use this feature (without  the help of a Jira Administrator)  to send out Reminder E-Mails for tasks based on Due Date.

No, that's not true. You only need an admin for adding group subscriptions.

Every project member can add the subscription for her/himself.

Just write a mail to everyone or communicate this in your next project meeting and everything's fine. Subscribing to a filter is not rocket science ;-)

True.

But I wanted to be able to activate this for the complete project - without ever single user having to go through the subscription process. Looks like this is the way to go.

Thank you!
