Reminders

Hello,

I'm looking for email reminder of Jira tasks for all the users. Please, may I know which options we have for Jira Cloud

Already tried Reminders for Jira from Marketplace but it need to be set for each task and will create mail cluttering. 

For example, this add-in for Confluence has the requirements we are looking for:

  • Reminder for all users (or a selected)
  • Select which tasks depending on the workflow (i.e. to-do, in-progress, done) 
  • Email frequency

Hi Julio - Welcome to the Atlassian Community!

I have severa Automation For Jira rules set up to do this. You can create scheduled triggers based on whatever date field you need to read. And then send emails that day or 30 days before or 3 days before or whenever. 

It's easy to use and comes for Free with Jira Cloud!

Hello @Julio CRUZ 

You can try Boomerang:Reminders for Jira Issues that helps to remind users about important issues in Jira Cloud. This add-on allows you to select multiple users for notification and set the frequency of reminders. The only condition is the reminder must be configured for each task separately.

As an alternative, you can try SLA Time and Report add-on that will help you not only to send reminders for a certain set of tasks but also tracks SLA time for them. It gives you the ability to select time targets and automatic action for overdue tasks, one of which is notification.

Thanks for your suggestion Mariana.

For now, I'm using the filter+subscription option with success and reviewing the automation for jira feature, which seem powerful.

Have you tried leveraging the built in automation? For example, create a scheduled daily automation and have it check conditions to match your requirements and send email as required?

Hi @Julio CRUZ 

I am curious, what problem are you trying to solve with reminders?

The need for reminders could be a symptom that people on teams have too much work in progress (and so it gets lost in the noise), and/or they have multiple locations/ways they track work (making what is next/important less visible).

A bit of a different spin on the same thought process..

reminders are like SPAM. Just more emails the team will ignore. Try pivoting the team’s behavior toward using “Your work” or personal boards or dashboards on a daily basis. Put the accountability in their hands to stay on top of their deliverables. Also, this is where Scrum/agile teams shine by having daily stand ups.

I'm completely agree with you guys. Personally, I use my personal boards on a daily basis or filters to manage my issues or the issues from others.

Unfortenelly, as you mention, some users are not on top of their deliverables, and the executive decision was to create an automatic reminder.

Thanks for that information and ideas.  I'd encourage the teams to chat about why there is a perception that "users are not on top of their deliverables".  Even though there is a decision to use the reminder approach, the teams may uncover what is happening and help them use the pull-model of "your work" areas be more effective...and...eventually, fewer reminders would be sent.
