Transitioning Epics from one Workflow/Board to another Workflow/Board within the same project

Marc Rousseau October 31, 2022

Hi team,

I am trying to create two distinctly separate "Epic Boards" in my one project, to be used by two different teams.

Imagine Team 1 has workflow A-B-C-D for their Epic. Team 2 has workflow D-E-F-G.

Team one does the necessary for the Epic to transition through their flow. Once they are "Done" (Here AKA "Ready for Team 2") and reach workflow state D, the same Epic appears in the second workflow state D so Team 2 can take over the Epic and bring it to completion.

How can I make this happen if I can only map Epics to one workflow?

Welcome to the Atlassian Community!

You don't need to map different workflows to make this work (although you could technically, by having a vastly ugly process of moving Epics from one project to another.  Don't do that to your people, "issue move" is not something that should be part of your normal process)

Create your epic workflow as A-B-C-D-E-F-G, and create two boards, one for each team.  Team 2's board should be exactly what you already imagined - D-E-F-G, but you need to think about what Team 1 sees as "done" - they actually need a board that maps A-B-C-(D, and E, and F and G).  Everything on Team 2's board then looks "done" to Team 1.

Just to respond here, Team 1's work is "Done" when it's "Ready" for Team 2 - appreciate this sounds a bit waterfall but it's the nature of the work. Team 1 preps and does Discovery on Epic X, when it's approved it's handed over to the Delivery/Engineering team. Thanks!

hello @Marc Rousseau

Welcome to the community!!

In order to achieve this, you will need a single workflow with all 7 statuses, A-B-C-D-E-F-G.

The Epics would be mapped to the workflow, and when you create the board, you can map only the required status to the board columns. The downside of this approach is that the unmapped status would be visible as well.

Please accept the answer if this helps.

Of course! That makes total sense, thank you kindly.

Please bear in mind my answer as well - you need to think carefully about how you do all the column mappings on all but the last board in the flow.  You must not leave status unmapped.
