Using Jira Board as a Calendar

Sara Valoti SK June 28, 2024

Hello everyone, I would like to create a board in Jira to use as a Calendar: each ticket would be a reminder (specifically a reminder for business payments). So I need each ticket to be recurring.

EXAMPLE

Every month I have to pay my subscription to Jira. In the calendar of this board, I would like every 4th of the month to have a ticket reminding me that there will be a payment. (Exactly like when scheduling a recurring meeting in Outlook).

Do you think there is a possible way (also thinking of alternative ways outside the box)?

To automatically create an issue in every 4th of the month with the title, for example, "Payment," you can use Jira Automation, a feature that allows you to set up automated rules for various actions. Here's a step-by-step guide on how to set this up:

  1. Navigate to Project Settings
    1. Go to the project where you want the issue to be created
    2. Click on "Project settings" in the left-hand sidebar.
  2. Access Automation
    1. In the project settings, find and click on "Automation" in the sidebar.
  3. Create a New Rule
    1. Click on the "Create rule" button to start a new automation rule.
  4. Set Up the Trigger
    1. Choose "Scheduled" as the trigger.
    2. Configure the schedule to run monthly.
    3. Set the "Run on" to "Day 4 of every month" and specify the time of day you want the rule to execute.
  5. Add an Action
    1. Click on the "New action" button.
    2. Select "Create issue" from the list of actions.
  6. Configure the Issue Details
    1. In the "Create issue" action, fill out the details for the new issue:
    2. Project: Select the project where the issue should be created.
    3. Issue Type: Select the type of issue (e.g., Task, Bug, Story).
    4. Summary: Enter "Payment" as the title.
    5. Due Date: The day you want it to end, in your case I assume the same day as created.
    6. Other Fields: Fill in any other required fields for your issue type (e.g., Assignee, Priority, Labels).
  7. Save and Activate the Rule:
    1. Click on "Save" to save the action.
    2. Review your rule to make sure everything is configured correctly.
    3. Click on "Turn on" to activate the rule.

You can also schedule it so that once a year it generates 12 issues instead of once a month it generates one issue.

You could create these issues once per year with a due date parameter e.g.

  1. Create 12 issues under an epic called Atlassian Payments
  2. Each issue would have the relevant due date e.g. 4th of the month
  3. Filter your kanban board to only show issue within a give date range
    1. based on todays date
    2. how far ahead you need to be reminded e.g. 3 days in advance
  4. Optional: Use automation to send you an email reminder 3 days in advance of payment due date

If there are a lot of issue you need to create with similar details, it might be more time efficient to create these in a CSV file and then bulk upload them to your Jira Project or use automation to generate these issues.
