What are the prerequisites for adding incoming mail server in jira cloud and how to add it in Jira Cloud in addition to the default cloud mail server

I'd recommend checking out this official article: Create work items and comments from email 

Some of the prerequisites are:

  • You must have Administer Jira global permission
  • Mail server you want to add must support POP or IMAP protocols
  • For some accounts, OAuth 2.0 authentication is required

But everything should be stated in the linked article.

Hello @SIVA Kedari 

To add an incoming mail server in Jira Cloud and configure it in addition to the default cloud mail server, you need to follow certain prerequisites and steps.

Prerequisites

  1. Email Account Access: Ensure you have access to the email account you want to use for the incoming mail server. You'll need the email address, password, and server details (such as the IMAP or POP server address and port).

  2. Jira Permissions: You must have Jira administrator permissions to configure an incoming mail server.

Adding an Incoming Mail Server in Jira Cloud

  1. Log in to Jira Cloud: Ensure you have administrator access.

  2. Navigate to System Settings:

    • Click on the Jira settings icon (cogwheel) in the top-right corner.

    • Select System from the dropdown menu.

  3. Configure Incoming Mail:

    • In the left-hand sidebar, under the Mail section, click on Incoming Mail.

  4. Add a Mail Server:

    • Click on Add incoming mail server.

    • Enter a name for the mail server configuration for identification purposes.

    • Choose the server type (IMAP or POP).

    • Enter the server details, including the server address and port.

  5. Test the Connection:

    • After entering the details, click on Test connection to ensure that Jira can connect to the mail server.

  6. Create a Mail Handler:

    • After successfully adding the mail server, you need to create a mail handler to specify how incoming emails are processed.

    • Click on Add a new mail handler.

    • Choose a handler type (e.g., Create a new issue or add a comment to an existing issue).

    • Configure the handler's settings, such as the project to which issues will be created or comments added, and any filters or restrictions.

  7. Activate the Mail Handler:

    • Once configured, ensure the mail handler is active so that Jira can start processing incoming emails.

Additional Considerations

  • Default Cloud Mail Server: Jira Cloud includes a default mail server for each Jira Service Management project. You can use custom mail servers alongside this default server for additional flexibility.
