What's the best way to report on the scheduling timescales of my kanban board?

Tina Kelly September 14, 2020

Hi,

I have a kanban board and I want to be able to visually see deadlines for each ticket and when it is planned in for development, so that I can track capacity and risk areas where we might breach a deadline. The Roadmap looked perfect, but the version I have doesn't have the dropdown arrow for the epic level to show any child tickets that i allocate to the epic, so it's really not fulfilling my need. It says its the Roadmap BETA, so I'm guessing it's not the full next gen version. I've read that there have been some issues with this for other people. Are there any reports that I could use to depict this info visually on a timescale? I'm familiar with jira wrt kanban boards, but I've not used reports much.

Thanks very much for any advice and help.

Tina.

Hi @Tina Kelly

I'm a Product Manager for Roadmaps and Advanced Roadmaps.

I just wanted to clarify a few things for you. Roadmaps is currently in open beta for Classic projects, but is almost functionally identical to the version available for Next-gen projects (we are closing a few minor gaps related to inline issue create and the Confluence macro at the moment).

Currently, only epics can be scheduled within the roadmaps feature. Neither project type offers the scheduling of stories or tasks. This is currently an outstanding feature request and you can track its progress here: https://jira.atlassian.com/browse/JSWCLOUD-18668 .

We recognise that many customers are asking for this and we are looking into it, but I can't share more with you just yet.

Ah just a point of further clarification - the dropdown arrow should appear for any child issues of the epic, even in Classic projects, but it will only show a list of children with their assignee and status (they will not have timeline bars).

If the epic does contain open issues that are not appearing in the roadmap, you may need to raise a support ticket as this is not expected behaviour.

This is what it should look like:

Hi @Tina Kelly

You might want to give a try our new application it offers a new approach of reporting that shall help your organization and teams to analyze teams performance and identify potential improvements.

I would also recommend the option of using Advanced Roadmap where you can create separate Teams and assign capacity for each of them.

Then assign tickets for perspective teams, those tickets shall have estimation value and start/end date.

last you can create from the advanced roadmap view several milestones that will show as a vertical line on your roadmap.

Hello @Tina Kelly

Welcome to the Atlassian Community!

Jira has two plans that provide you with a roadmap report that can be used to displays the timescales for Tasks and Epics on your board:

In the Standard Plan, you can use the Basic roadmaps feature:

Basic Roadmaps - Jira Standard

In the Premium Plan, you can use the Advanced roadmaps feature (formerly Portfolio):

Advanced Roadmaps - Jira Premium

Basically, the difference between the two features above are the additional customization options of Advanced roadmaps, however, both provide you with the time scales of your Epics and Tasks, allowing you to plan your capacity according to your team backlog. Please, take a look at the links above for more details.

In Jira free plan, the options available are the Next-gen's roadmap feature (Project specific) or the Filter results gadget. Using the Filter results gadget, you can configure a column to determine the due date/time of your issues, however, you might not have the same graphics and capacity view of the default roadmap options.

Let us know if you have any questions.

Thanks Peter. Our roadmap seems to be the BETA version tho, so we don't get the dropdown arrow to show child issues. I don't want to have to create an epic for each ticket that I need to track, else my board will have twice the number of issues in it. Can you suggest how to get around this. Also, can you advise why our company jira board might still show the BETA version? I've contacted by IT helpdesk about upgrading, but have not heard back yet.

Hello @Tina Kelly

Thank you for the details provided.

After some time checking with our PMs, I confirmed that the Basic roadmaps for Jira Standard was not fully released for Atlassian customers yet, and it's still on beta implementation.

Our PMs and developers are currently working to get it fully implemented. You can check the following feature request to track their progress:

Enable Roadmap for "classic" project

I've added your feedback in an internal comment at the feature request so they can put your site on the first line for new deployments. Additionally to that, please feel free to vote and watch the suggestion to increase its priority and also receive notifications about any updates.

About this sentence:

I've contacted by IT helpdesk about upgrading, but have not heard back yet.

Can you please provide us with the number of your request? We can contact the CA team to prioritize your request if you need something else besides the information provided above.

Thanks!
