Hi,

  I have a common workflow scheme used in multiple projects. I need to delete a status/transition in only one project. The changes to be reflected in only one projects and it should not effect for other projects which refers to same scheme /workflow.

Dear Sums,

in this case my favorite approach would be to prepare the new workflow by copying the existing workflow. Than you change the copy according to your needs. Now you switch the project over to the new workflow.

I hope this is of some help to you. If you need further assistance don’t hesitate to ask again. I could create some screenshots for more guidance.

First I describe the example in more detail. It's an example from Jira Cloud. The following screenshot is taken from project ChangeIT under Project settings > Workflows. It shows that the three workflows the project refers to are bundled in a workflow scheme. This workflow scheme is used by a second project. This second project is called CircularIT.

We would like to alter the workflow "Simple Task Workflow", not for both projects but only for ChangeIT. This are the steps.

  1. Copy Simple Task Workflow and rename it to e.g. Advanced Task Workflows.
  2. Copy the workflow scheme and give it also a new name.
  3. Alter the new workflow scheme to refer to the workflow Advanced Task Workflow.
  4. Switch ChangeIT over to the new workflow scheme.

For step 1 and 2 we have to go to global settings in your Jira Cloud instance.

Step 1: Select workflow and click copy. Give it a new name and change it as you like.

After closing the workflow editor (e.g. by just going back to all workflows) you find the new workflow in the list of workflows under "Inactive" which is often "hidden" by default.

Step 2: Select the workflow scheme and click copy.

In this case you are not ask for a new name. The new scheme is now listed under "Inactive" and its name is prefixed with "Copy". You can edit the name in step 3.

Step 3: Edit the new workflow scheme to

  1. Change the workflow over to Advanced Task Workflow with "Add Workflow"
  2. In the sub dialog select the issues type you would like to change the workflow for. In the example its Task and Sub-task.
  3. Rename the scheme by clicking on its name.

Last step: switch workflow scheme used by the project, so back to project settings.

That's it.

Looking back to global settings the workflow scheme and the workflow should now be listed under active.
