change workflow scheme to simply workflow

My default workflow was set and shared with other projects. but i am now expected to use the simpfy workflow so that i can modify the status. how can I change this workflow scheme? thanks.

Welcome to the Atlassian Community!

You do not "simplify the workflow" by changing workflow schemes.  It's a whole different approach.  It is done from a board point of view rather than a project (projects are configured with schemes)

Go to your board and have a quick look at the board filter to see what projects it might be including.  You are going to hit all of these projects with this, so you

  • Need admin rights in them all
  • Need to make sure all the project users are happy with the change

Once you've worked out, and agreed, the impact, go to the board configuration again and find the column settings.

In there, there is a "simplify workflow" button, which will create a new workflow scheme for you (it will be blocked if you already have one by the name it chooses), and apply it to all the projects.

Once you have done that, the single (new) workflow that was created for this board is not modifiable by the project admins - they change columns, the workflow changes to match.

Note that you should never edit the newly created workflow directly.  If you add post-functions or conditions etc, your project admins could easily wipe them out next time they make a column change.  You really are making the workflow very simple and under the control of the team, not the admins.

Hi @Eliz LI Company,

You can associate the workflow-to-be-used with your project's custom workflow scheme to do this. This simply workflow can be copied and then associated to the workflow scheme to use it exclusively for your project and make changes as needed. As @Alex Koxaras -Relational- has pointed out, you can refer to the Atlassian documentation to associate the workflow scheme to your project.

You have to make sure that the scheme you select has a workflow where any status is available from any other status (global transition is activated for every status). Usually, Jira is auto creating a project workflow with the suffix "Software Simplified Workflow".
