I have templates (pre-defined list of stories) under a template (epic).. That Id like to have a group of people responsible for performing.
I have a few things (probably more) that I'd like to do with this:
A) as the tasks are at times time sensitive / may be get lost in the sea of things for the group to do, Ill be sending out daily reminders..
- Not sure what the best way of doing the reminders / pinging.. Id love to have the same groups / teams in a group chat that gets notified of the task and have a link to it and or be able to move the task to the next status through MS Teams via maybe adaptive cards?.
B) it will be something that could be a filtered "to-do" list for that specific group / team.
C) Be able to have a central repository of people that can be updated as people come and go, without having to update each open task.
Have said the above, Im open to suggestions on how to proceed. Looking forward to everyone's responses
Hi Dsaveri,
Jira issues are always assigned to individuals. If you have an issue where person A executes X and person B executes Y, that means you actually have two issues, one for each. However, if you need to track work at a group level, here’s an effective approach:
1. Use Jira Groups for User Management
Jira groups act as user containers, allowing broader configurations that teams don’t support (e.g., automating notifications for all group members or setting up filter subscriptions).
2. Create a Group Picker Custom Field
This field will serve as your filter criterion, enabling targeted visibility and notifications.
How it works:
- Daily Reminders (Item A) – Set up a filter subscription to notify group members daily. More details: JQL for filters.
- Filtered "To-Do" Lists (Item B) – With the Group Picker field, you can create boards per group and configure JQL-based views.
- Centralized User Management (Item C) – Users are managed at the product level, so updates to groups automatically reflect in assignments, notifications, and permissions.
Additionally, since you're using groups, you can configure project permissions and security levels based on these and the field, ensuring proper access control.
Hope this helps!
