Hi there,

I was wondering what is the purpose of using shared teams. I know how to create one since my team is using it but just don't understand the need for shared teams and how can it be beneficial for the other teams as well. Thanks

Hi @Marushka Saldanha

It depends how you're using Advanced Roadmaps, but Teams help with capacity planning, dependency management - and clarifying who owns what, as you plan your larger initiatives and forecast forward.

There are two types of team...

  • Plan-only: The Team only lives within each specific plan. If someone else creates a second plan - you can't re-use that team in there. This can be good where teams aren't interdependent. The Team field will visualise the Team in Jira, but Team setting is mainly done in the plan itself.
  • Shared Team: This makes a Team available to every plan, and it's possible to add/edit the Team at an Issue-level also. Anyone can use the Team in their plan, and it's great for teams used across multiple areas, or enterprise-wide teams, like Security, DevOps, or Infrastructure.

Personally, I find Shared Teams are more commonly used - because either there are dependencies across larger Programs/Portfolios, or there are multiple views a Program might want - thus resulting in multiple Plans.

Being able to set them at Issue-level can also be useful, and I often see teams use Automation to set them - where their Project structure (or similar unique identifiers) matches their team design.

There's some good further information on the following help pages:
