Hi Trello Community,

We’re excited to announce a highly requested update: Trello Planner now integrates with Microsoft Outlook Calendar!

In the last four months we’ve seen many utilize the new Planner feature in Trello to drag and drop saved cards from their boards directly onto their synced Google Calendars. This has helped users tremendously with scheduling tasks, setting reminders, and prioritizing important deadlines while balancing logistics for both work projects and personal appointments in a single view.

Now, you can connect your Outlook account and see all your meetings, events, and Trello tasks in one unified view—making it easier than ever to manage your time and get things done.

What’s New?

  • Outlook Calendar Integration: Visualize your Outlook meetings and events right alongside your Trello tasks.

  • Two-way Sync: Schedule focus time and Trello cards directly from Planner, and see updates reflected instantly in both Trello and Outlook.

  • Real-Time Updates: Changes in Outlook or Trello Planner sync automatically, so you’re always up to date.

How to get started

1. Navigate to the new bottom navigation bar at the bottom-center of any of your Trello boards and click “Planner” to open the Planner panel.

Planner Panel.gif2. Once you’ve opened your Planner panel, click on the “Connect a calendar” button and choose the “Outlook calendar” feature

3. Connect your Outlook account securely via OAuth by clicking “Accept”.

4. And vióla—now you can enjoy a seamless, unified planning experience with your Outlook integrated with Trello Planner! Please note: Trello users on paid tiers can schedule and edit tasks onto their synced calendars within Planner. Free Trello users can sync their calendars in “view-only” mode.

Hi.

This is fantastic! I have so many Trello cards assigned to me, I love the idea of planning out working through them in my calendar. 

However there's an issue in the authentication flow - at least for our organisation where we use the approvals process for new Azure Enterprise Applications. On clicking to connect a calendar, it prompts the user to request approval for the app - as it should on the first occasion. The admin then approves it. However on second attempt it repeats the same process - always requiring approval (even though it's approved) and never connecting successfully. This is the same regardless of whether the user is manually added to the Azure Enterprise App, whether user assignment is enable or disabled.

After a little digging I can see in the URL that the authentication flow is specifically requesting consent each time it is redirecting to Microsoft, the start of the URL being  https://login.microsoftonline.com/common/oauth2/v2.0/authorize?prompt=consent&access_type=offline&

I have found that if I remove the prompt=consent& part then it connects successfully, but that doesn't scale well for a lot of users. 

I'm not sure how you implement a fix for this of course, but hopefully it helps diagnose the issue!

Hi, I am also trying to connect my outlook to Trello and it says that it connects successfully after connecting with my Microsoft 365 account, but then I can't see anything and it still has the prompt to sync a calendar - any idea how to fix this?

Hello, it's so sad this feature is not useful for me, I don't need to see any agenda inside my Trello board.

Is it possible to come back to the previous view, with more spaces to see Trello lists 🙏?

Every time Trello creates a calendar entry, it shows on my Outlook calendar as Private. Can this be changed?

@Victor Dronovcomo desativo essa aba inteira? Não uso nenhuma das três, salvo o quadro que já estou usando e quando desejo alterar, prefiro usar o método tradicional pela lateral. Pois ela ocupa muito espaço na parte inferior da tela, atrapalhando até a rolagem lateral.

Could someone on the team please confirm that being able to connect both Outlook & Gmail Calendars is still on the roadmap, and if so, any idea for when?

I'm in the same boat as other with the Admin Approval required for connecting to corporate Outlook... so waiting for my ticket being looked at.

Lex here from the Product Management team! Very sorry you had issues with connecting Outlook and seeing events in your Planner. There was a bug in our authentication flow for some users that should be fixed now. Could you open your Planner and see if it is now populating events? If not, you may have to disconnect (through the settings icon in top right corner of Planner panel) and go through the authentication process one more time. 

Please let me know if this resolves your issue!

Right now all events created are marked as "private" but we are looking to add the option to set them as public in the future. No exact timing yet.

The ability to have both an Outlook and Google Calendar connected to Planner at the same time is currently being worked on and is our next highest priority. It will take a bit of time because it is a complicated piece of functionality to build, but we are on it!

Is it possible to drag a card to the agenda of my colleague? I can see their agenda but when i drag and drop it's made in my own agenda.

@Twan van de Ven Not at the moment! Right now while you can see all calendars that are connected to your MS Outlook account, you can only schedule to your personal primary Outlook calendar. 

Cool idea though! Can you tell me a little bit about your use case for why you would schedule to your colleagues calendar?

Hi Alexandros,

We have a board where we have a list with new cards for idea's or improvements, we discuss this list in a face to face meeting because there is often more to it than that's written on the card.

And from there on a member of the team gets the card assigned to them. Normaly i'm the one who is presenting this list and assigning the cards, but quite often there is commented that a colleague doesn't have the time to do it or it's said that it will be done on a specific date but the assigned co-worker doesn't schedule his assigned card to his own agenda.

Plus sometimes cards are assigned to people that aren't pressent in the meeting, and to make sure that it will be done on the specified time it would be nice to place cards in other agenda's

Thanks @Alexandros Mathopoulos ... looking forward to having both Outlook & Gmail!...

My Azure admin team got approvals and tried to approve the "Trello Planner for Outlook" app, but it's not working. It's still coming up showing the "Need admin approval" when I try to log in.

When they log in with their Admin account, the first time it came up asking to approve the app, which he did... and since then it will just go back to Trello with a vague "There was an error connecting your account, please try again." error in the bottom right.

 

They have tried everything they can, they said that they have used their Global Admin to grant the access, but still not working.

The sign-in logs on my Azure account were just saying that the app needs to be approved by an admin (or something like that).

 

Can anyone please suggestion anything?

Hi @Brian Folan 

Sorry that you still haven't been able to connect your Outlook account to Trello Planner! Can you please check that you’ve added Email in your Microsoft Azure profile information? You can follow the instructions here to do this: Learn how to add or change profile information in Microsoft Azure

We've seen a missing email cause problems at least once before for other Outlook integration points where login fails. Please let me know if your account's email has already been set and/or if the issue persists!
