How to archive a day in the life of the board

Kevin Thomas January 25, 2022

I have been testing Trello as a scheduling and organization board for a courier service and like everything so far. Is there a way to archive an overall day? I've been just taking a screenshot of the days cards (which change everyday depending on pickups).

For example, I'd like to be able to say go back to last Monday and view the board from that day.

Thanks!

Hey @Kevin Thomas

I also don't think there is a way to view Trello board versions/history like this.

A little bit manual (couple of clicks each day), but you could export your board every day to Excel meaning you get a similar view the screenshot you're currently taking, but with the added benefit of much more card information eg description, checklists, etc in the export too.

So you could look back at a previous day's export if you needed to.

Our Power-Up Board Export would help you with this if you like the sound of that option.

Hope that helps!

Hi @Kevin Thomas ! Welcome to the community :)

I'd like to be able to say go back to last Monday and view the board from that day.

Do you mean "...view the card from that day?"

Are you creating a new card for each day of the week in one main board, and each card represents what needs to be done that day? And when the day is done, you archive the card? If so, are you including the date in the title? If you're doing that, you can just search for the card by typing the date using the global search. This will search all cards in all boards (archived or not)

Thank you for the response.

No. My cards all all customers. I pull from the customer list and drop the customer card into the Driver Route list for the drivers schedule each day and I'd like to archive each day.. It changes everyday. Image attached.

Oh, I see! Thanks for the screenshot - super helpful. A couple of options:

1. You can archive cards in order to have a new card for each day. If you were to do this, you'd probably want to prefix the card with the date so you can search through your archived cards easily. This may become quite cumbersome and you'll end up having a lot of cards in your archives. You could streamline this using Butler automation to auto-archive and generate a new card each day potentially using template cards as well.

2. Another option is to just keep one card for each customer, and use checklists to check off the tasks for each day. If your drivers are using the mobile app, it's pretty easy to just find the relevant customer and then check off the check-item that represents that day. You might end up having a lot of check-items, but you can hide the completed ones. Also, Butler can help with generating a new check-item for each day to help speed things up.

Does that sound like I'm on the right track with what you're wanting to achieve? Happy to expand on anything if you need!

Thanks again for the response. Not quite. The first answer would be waaaaay too many cards each day. Second, is closer but not quite. hmmmm....I'd like to capture all the data from each day. For example, referring to the screenshot. At the end of the month, I'd like to be able to search all the pickups from customer Leotele (top card on Route A) to tell me how often we picked them up in this past month and when.

Hmm ok it sounds like you're basically wanting a snapshot of each day. It's not a use-case I've seen before, but maybe Butler reports or Zapier could help here? The idea would be to generate a daily visual report of the cards on the board for that day. With Butler, you could create a report and send it to yourself in the form of a slack message, Trello comment, email, etc. With Zapier, the first thing that comes to mind would be to populate a spreadsheet in some way on a daily basis. That way, the sheet acts as a sort of static report for you to report on numbers.

The spreadsheet suggestion is promising! I will look into that. Thank you so much for your assistance! 🙏
