Hi everyone, I am Martin Day Crewe and encountering a frustrating issue in Trello and would really appreciate some help or insight.

I manage multiple boards across different workspaces, and I’ve been trying to set up Butler automation to automatically move or copy cards between boards when certain conditions are met (e.g., when a card is marked “Done” in Board A, it should move to “In Progress” in Board B).

Here are the problems I’m facing:

Automations aren't triggering when moving cards between boards. I’ve set up the rule correctly (I think), but it only works occasionally or not at all. Is there a limitation on Butler automations across different workspaces or boards?

Custom fields are not retained when cards are copied or moved between boards, even though the destination board has the same fields set up. How can I ensure custom field data is preserved?

I want certain checklist progress to remain intact, but when I copy or move the card, the checklists reset. Is there any workaround?

Has anyone dealt with these kinds of issues? If yes, I’d love to hear your solutions, suggestions, or even third-party tools that helped you overcome these limitations.

Thanks in advance!

Regards, Martin Day

Hi @Martin Day

Great surname by the way 😁

I'll break a few things down:

  1. When you have an automation, I recommend you select the text and copy/paste it into the question on here.  It's harder for people to help going in blind. I can't work out why it may only be triggering intermittently.
  2. What will also be really helpful is to explain what (and why) you're ultimately trying to acheive.
  3. Custom fields
    1. Custom fields are ONLY when as they have data in them.  If they are empty, they won't copy to the new board.
    2. The naming of custom fields can cause chaos. It is possible to have custom fields duplicated because the name is slightly different or it has different capitalisation etc.  The order can get messed up too
  4. Checklists
    1. Checklists remain the same when a card is moved BUT...
    2. When a card is copied...The checklist completion status is reset.   Trello assumes that this a new card and thus resets the checklist.
    3. You can overcome the above with automation but it's a little clunky and depending on your Trello automation level can be a bit more complex.
  5. Have you looked at using Trello Card Mirrors?
  6. For more comprehensive mirroring and syncing, I would recommend looking at Advanced Mirror by Placker

I hope this helps
