I have 6 employees and need to equally distribute new cards on their own boards.

New task are automaticly generated in a list on board X. Board X must not be available to employees.

I need these task to be automaticly and equally distributed to my employee's board.

Exemple:

Task XYZ was automaticly generated on board X. That task is now automaticly sent to Employee 1's board. The next task is automaticly sent to Employee 2's board. When all 6 employees got their task, it starts all over again. Employee 1 then 2 then 3 etc...

How can I do that?

Hey Samuel! Good question. I did a little testing, and I think I'd suggest having a couple separate boards for this.

Boards

Board 1: Your board. Where Tasks originate. This is the one your employees don't have access to.

Board 2: The assignment board. This is the board that handles redirection of tasks to the various employee boards. Everyone needs to be a member of this board.

Board 3/4/5/6/etc: These are the employee boards. Only the individual needs access to this board.

Rules & setup

Board 1:

  1. Just one rule needed. "when a card is added to list "X", move the card to the top of list "Outbox" on board "Board 2"

Board 2:

  1. You need two lists in this board. Let's call them "Outbox" (needs to be the same name as the list in the rule from board 1) and "Assignees"
  2. Create a card called "Assignees" in the "Assignees" list, then assign every employee to that card.
  3. You need one rule that will assign people to cards, then one additional rule per employee.
    1. Assignment rule --> "when a card is added to list "Outbox", add a member in turn from card "Assignees" to the card" <-- the "in turn" part is the key, that's what will evenly distribute cards among employees
    2. Then create rules for each employee on Board 2 "when @employeeUserName is added to a card, move the card to the top of list "Z" on board name of employee's board"

There may be a more efficient way to do it, but that's what worked for me! Curious to hear if others have suggestions too.
