I want to keep my boards private with one other person

I use my Trello boards to communicate with my 1:1 clients, and the Teams makes it feel like they are all kind of seeing each other's stuff - I just want to be able to create separate boards and only have one person on each board at a time for privacy. Am I still able to do that?

Hi @Allison

Hipporello power-up is specifically designed to match your case. Hipporello is a service desk built for Trello users. You can let your client to create Trello cards on any board via form or emails. Your clients never see your board. They only see the case they open. But your team can see all the Trello cards opened on the board which Hipporello is added.

Agents can communicate with your clients on Trello card directly. At the same time your clients can see the progress on the service desk portal which Hipporello provides. They can submit their responses from portal and also by replying emails they received from Hipporello.

Please check our website and Trello powerup pages for the details

At the Free and Gold subscription levels, I think the correct path is to make a new team for every client? Especially as a team can only have 10 open (unarchived) boards at once, so it makes sense to make more than one team. The upsides is that you get a link to all the teams on the Home sidebar, and can have more than one board per client.

If you're a small outfit and won't hit the 10 concurrent board limit. You should know that in a team board, if you click on the team name, you should be able to set the board so it is a team board that is invisible to the team, then you can invite the client specifically to that team board. All your clients would still be visible to each other though.

Alternatively, you could also just make the board private after inviting them. But they'll still have had to join the team initially, which seems overly convoluted for not much gain. But might be a solution if you went with option 2 but then hit the 10 open boards limit?

*Just realized, I don't actually know if Gold subs have the 10 open board limit or not.. the help files go straight from Free to Business class and up... huh..

If you are Business and up, you can make someone an Observer or a Guest to a specific board. The limitation is you can only add them to a single board, or else you have to start paying for their access. But I suppose this way you get to keep any perks that are specific to Business class Team Boards? not sure about the specifics here.

You don't need to create a Team for every client.

If the boards are private, then the only people that can see them are the people on the boards or the Team Admins.  By default people on Team boards don't see other Team Boards unless you add them to the Team and make the board Team Visible.

That is understandable, however I can't create a new board on Trello now without adding it to a team - that's my only option now if I create a new board. So should I just do a team per client? They do get a couple of other boards too - so there's probably 3 per client. Does it make sense then?

Make a team called "Allison's Boards".  Then add the board to that Team and everything will work like it did before.

If you WANT to create a team for each client, you could do that too.  I don't know if your setup requires it but sounds like it might not.

(Board creation has a drop-down where you can select No Team.)

It mostly depends on how many concurrent boards you want open at any one time. If you can keep it to under 10 boards, just use a single team with all boards set to private and invite team members(clients) to each board individually. Your clients will be able to see each other in the team though, if that matters to you.

Team per board is when you can't keep it to 10 boards. Lots of concurrent clients or each client having multiple boards or whatnot. If each client has 3 boards, you can handle 3 clients before you either need to make a new team or close(archive) one of the previous clients.

This is assuming you're on Free or Gold of course. All the logic and limitations change if you upgrade.

Hi @Allison ,

Thanks for reaching out!

Yes you can do that! Moreover if what you are looking for dealing with your clients is a kindokind CRM, I would invite you to take a look in Crmble Power- Up, which turns your board into an easy to use CRM.

Hope it helps!

Cheers
