Inaccurate information in "Activity" being shown, how to correct?

PW August 22, 2025

When someone on my team archives a specific card, it shows as me (my initials) rather than listing the team member who did it. This can lead to serious confusion fast, so is this a feature that is edit-able and if so, where? Thanks!

Hi there! Welcome to the community!

I did a quick test and couldn't replicate that issue. Usually, when an automation archives a card, the activity logs show the automation creator's name, even if a different member triggered the action.

For example, if you set up an automation to archive a card after it's completed, when user X completes the card, your username will appear in the activity logs since the automation is connected to your account.

Please take a moment to check if that’s the case. Actions performed by automation will show up in the card activities as "via automation" right after the date log.

Hope this helps, but let us know if you need any additional help.

Hmmm, allow me to attach some screenshots. There's only 3 of us in our team board, me (PW), QC, and BC. Anytime BC or QC archive a card, it says it's been done by me (1000% confirmed I did not archive anything in the last 6 months, this is for them to manage, not me, I may create the card, but dont archive when doneScreen Shot 2025-09-09 at 12.08.37 PM.pngScreen Shot 2025-09-09 at 12.08.28 PM.png). Confirmed they're logged in, into their own profiles. Any other ideas? See screenshots....

Hey PW, thanks for replying and the screenshot! Checking the images, it shows that the archiving action was triggered by an automation after the card was marked as completed.

Since your username PW is shown, it means you've set up an automation to archive cards when they are marked as completed. Because you created this automation, your username will appear in the activity feed, even if another member triggers the action.

Hope that clarifies your question.

Got it, ok thank you - great catch. Is there a way the system can be just a tad smarter though, and tell me who archived each card vs just going back to the person who setup the automation? Kind of weird it would default to that, I can't imagine people would want to have the automater's name there instead of the one that actually caused the automation, if that makes sense : )

Hey PW, it makes sense! Currently, there isn't a way for that, but we do have a feature request. You can check it here: https://jira.atlassian.com/browse/TRELLO-1356

I have also added this post as an internal comment to this report so that way our engineering team can reference it and also use it to help align priority. I would also recommend you visit that suggestion, log in with your Atlassian account, and click *Start watching this issue* on the right panel. This will help our product and engineering team understand more about which functionalities our users are interested in. Also, when the suggestion is updated by our product team, you'll be notified via email.

As a workaround, you can update your automation and add an action to post a comment with the username of the member who actually did the action. Here's an example:

when the card is marked as complete in a card, archive the card, and post comment "{username} archived the card"
