Clients management

Julika Zimmermann March 14, 2021

Hello all,

I am looking for a feature that links cards and tasks to different clients. We have more clients than label-colors. Also I need these clients to be monitored so that one can easily see all the the cards and tasks done for a respective client. Something comparable to the team functions.

We have been working with Trello for quite some time and are now creating a more complex board with mirrored cards etc.

Thank you so much!

Julika

Hi @Julika Zimmermann ! How many clients are you working with? Would it make sense to create a dedicated board for each of your clients? That would answer the question of seeing all the cards related to a specific client. You can then mirror cards from the origin board to the respective client boards to ensure they stay in sync. Trello doesn't have a card mirroring feature yet, but there are 3rd party options like Unito which would give you the ability to sync cards 2-ways.

Dear @Hannah Humbert - Simpla Workflows@Hannah Humbert - Simpla Workflows We will be working with 50 clients and more. One board per client could therefore be too confusing. I was hoping for some kind of Power-Up or Extra that marks each card with "Client xy" and with that mark collects all cards/actions to one specific client.

Hi @Julika Zimmermann ! If you were wanting to have different client cards mixed into the same board, I'd recommend looking into creating parent child relationships to "group" your cards.

The idea would be to create a main client card, and then relate other cards back to the main card. There are power ups like Hello Epics which allow you to relate cards to a parent card (Epic). In your case, you could have a dedicated list or a separate board that contains all your epic cards, each card would be a client. Whenever you create a card, you would link it to the parent card. When looking at the parent card, you'll be able to see all related child cards and see the overall progress.

If you'd prefer to not use a paid solution, you could convert checklists into linked cards here's an article that explains how that works: https://medium.com/workflow-automation-with-trello/how-to-link-checklists-cards-in-trello-to-upgrade-workflows-4a624873d4c8

Hope that helps!

That sound great! I'll immediately try. Thank you so much, @hanna

@Hannah Humbert - Simpla Workflows Hello Epics is genius and exactly what I was looking for. Thank you again! Do you happen to know if I can export into Excel the various children cards collected on one parent card in order to report to the client? The reporting power ups I have checked do not include the children cards.

@Julika Zimmermann great - I'm glad that's working :) as for the reporting side of things, I'm not quite sure, to be honest. I would reach out to the Hello Epics teams to see if they're able to give any guidance on how to achieve this!

@Julika Zimmermann

There are that many ways to relate and connect cards such that it possible to get to the task card for each client. The added complexity comes when we add subtasks to the assigned task and have different members overseeing each task and/or subtasks. The more important questions would be (1) where work is initiated (2)where scope gets created and assigned (3) where work gets performed and reported (4) where work gets observed.... These are some of the questions that needed to be answered before solutioning starts.
