Creating a student attendance list that limits visibility per student/parent.

Rebecca McCarthy January 16, 2024

I have an after-school programme I need to take attendance for. I would like a simple way to take attendance so that parents (observers?) can see in real time that their child has been marked as present. However, I don't want each parent to be able to see the entire student attendance list. My current set-up is an Attendance List with a Card for each session. Within each card I have the class list as a check list. The issue I have with this is that any parent added as an Observer will be able to see this list and see attendance. Is there a way I can set it up so that parents can only see their own child's attendance?

There are 30 students.

Thanks for any ideas!

Hi @Rebecca McCarthy

There's no card-level or list-level security natively - it's at a Board level.

A possible alternative could be...

  • Create a Board for all students/classes
  • Create a Trello card per student, per class. These could be grouped using a label, due date (i.e date of class), or a custom field
  • Create a Board per student - and share each Board with the individual parent(s)
  • Set Automation via Butler to copy each card from the main board to the student-specific boards based on attendance that week

^ I think this would be workable.

Thanks, Ste. I considered a solution like this, but taking attendance on the fly with this set up might be awkward. I’ll play with it and see though. At this point we’re going with a Google spreadsheet for attendance tracking amongst the team and phone calls home just for no-shows. Thanks for your help.
