Guest - Boards

Anu Pöppel April 28, 2021

I wonder if it is possible to invite a guest in a board but limit its access to only certain cards. So I do not want all the cards on a board to be possible for my customer to see. Do you know if this is possible?

Hi @Anu Pöppel ! The private notes power-up you mentioned might be able to achieve part of what you're looking to achieve. I believe what it does is separate "internal" and "external" notes. If you post a comment, everyone will see it including the client. If you post a private note, only you will see it. That might be an issue if you need to share these private notes with other internal members though.

This also won't resolve the need to only share particular cards with clients though. I've built workflows for some of my clients that involve creating a "client-facing" board, and then connecting one or many "internal-facing" boards to it. That way, you can sync a subset of cards to the client board, and the client can make updates that will sync back to your internal board as well. You can also control which information should sync bi-directionally, and what should sync one-way. The power-up used to enable this sort of workflow is Unito board sync.

Hope that helps! Let me know if you have any questions :)

Ok, I understand.

Is it a big cost to build that kind of workflows?

Thanks for your answer

It depends how many people would be using and benefiting from the solution. Unito's pricing is based on users in Trello collaborating on the cards being synced. It starts around $10/month https://unito.io/pricing/

Hi @Anu Pöppel 👋

Welcome to the Community! Unfortunately the functionality you currently seek is not available on Trello, once you invite someone to the board they can see and access everything on that board you can make it so they're not an admin and can't edit anything but limiting access isn't possible.

I hope this helps but if you have any other questions ask away, I'm here to help 😃

All the best,

Laura

Thanks for your respond :) Too bad, it would have been so good if that feature had existed. Then it would have been possible to use Trello both internally and externally in the same board and get all parts in order.

See that there is a Power-up called Privet notes - do you know it? It says it can

🔒 Store private notes on your Trello cards that only you can see

This Orah Apps Power-Up is a Bonus Power-Up, therefore it will not count towards your board Power-Up limits. Give it a try now before the bonus is taken away! Check out this blog post for more details.

Whether you're sharing your board with a client, customers, team members or stakeholders, Private Notes lets you store personal notes on Trello cards that only you can access.
