Repeating list that each member can check off

We have a wine bar with 7 employees.  Wanting to make two things:

 

1) A daily (repeating) OPEN & CLOSE check list - same items every day, just want each employee to check them off each day they work.   Concerned once they check off the checklist, then it's no longer there for the next day?

 

2) Looking to make an announcement "page"/board?   These will be announcements I upload on a regular basis, but each employee can check off to show they've read it, then where do I check to see they've read the announcement?

 

Forgive me --- I a noobie!   Also, in my 7th decade of life!  It's been a great RIDE!!  :-)

Hi Marla, 

 

This is definitely doable and you have a few options depending how you want to do it. 

1)

You could either use "Calendar rules" or a power up like "Card Repeater". 

For this I would use the Calendar rules as it it more native to Trello. 

For the Calendar rules option, which can be found on the list on the left after you open the automation settings, I would set up a few rules like this:


every weekday at 8:00 am,

create a new card with title "Employee #1 Open"

in list "Employee # 1"

and add the "Open" checklist to the card


 

This can be repeated for every employee and for both open and close. 

Then I would add a Butler rule like this:

 


when checklist "Open" is added to a card,

add item "Sweep" to checklist "Open",

add item "Mop" to checklist "Open",

and add item "Restock" to checklist "Open"


 

Here you can add the list of things you want your employees to do. If you want each employee's list to be different just add a condition to the trigger like this: 

 


when checklist "Open" is added to a card with a name starting with "Employee #1"


 

Then all we need to do is add a few rules so we don't have lots of cards stack up. 

The first one will remove cards once the checklist is completed:


when checklist "Checklist name" is completed in a card, archive the card


Then we set up another Calendar rule so that any cards that were not completed will also be removed:


every day at 11:55 pm, archive all the cards in list "Employee #1"


Unfortunately, you will have to do this for each list that you have on your board. 

 

2)

 

This is much simpler. Look for the power up 'Voting" and enable it on your board. Then when you create a new card with an announcement, your employees can click on the "Vote" button inside the card which you can also see who has voted. 

 

Sorry if this was very long winded, I wanted to break it down as much as I could. 

Let me know if there is any problems with creating these rules.
