What is the best way to get a board to multiple people?

Mindy Smith January 18, 2023

One benefit of our program is we give a Trello board out.  Right now we have them all as guests in our workspace but this is getting very crowded.  What's the best way for us to distribute this board but they are all in their own workspace?

Hey, Mindy!

I hope you're doing ok.

I understand your concern about your guest list getting bigger in your workspace, as long as they are a guest on only one board, there is no risk of additional cost to your Premium subscription. However, if you add them to an additional board, they become known as a multi-board guest and cost the same as a Workspace member.

There are some options here that I can think of for this situation, the first one is to advise those guests to move the boards to their own Workspace, and the second one could be creating a public template for your next clients:

Creating a public Template

  1. Create a Trello board.
  2. Set it up the way you'd like it to appear as a template.
  3. Add any co-creators for your template to your board. (Optional)
  4. Since you don't want them to be a part of your workspace, don't forget to make the board public
  5. From the board's sidebar menu, go to Menu > More and select “Make template”

Anyone who creates a board from a template will begin with the exact same content, helping you and your team stick to the structure that you want to use repeatedly and they can choose to create the board for their own workspace.

Or you can continue keeping them as a guest if that's not bothering you.

I hope this helps and that you have a great day ahead
